ADMINISTRATOR & ESTIMATING COORDINATOR
Three Chicks and a Hammer is a rapidly growing, women-owned construction company specializing in decks, fences, porches, and residential remodeling. We are looking for a confident, highly organized professional to help manage our office, customer communication, and estimating process. This is a developing position within a fast-paced company. The right person must be comfortable adapting to change and helping us build systems, procedures, and workflows as the company grows. We need someone who can bring structure to a busy environment, identify opportunities for improvement, and help create a consistent sense of organization throughout the business.
Primary responsibilities:
Answer and return customer phone calls, texts, and emails Respond to new estimate requests and screen potential projects Schedule estimate appointments and customer follow-ups Gather project details, measurements, photographs, and material selections Create professional estimates in Housecall Pro using our established pricing system Follow up on outstanding estimates and maintain customer relationships Send contracts, change orders, invoices, and payment reminders Maintain accurate customer records, job notes, and project files Communicate project and scheduling updates to customers Help create and improve office systems, templates, checklists, and procedures Track open tasks and help ensure important details are completed Support the owner and project manager with day-to-day administrative needs These primary responsibilities do not represent every duty associated with the position. Job responsibilities may change or expand based on the needs and continued growth of the company.
The ideal candidate:
Is exceptionally organized, dependable, and detail-oriented Communicates professionally and confidently Is comfortable managing a busy phone and multiple customers Can prioritize competing responsibilities in a fast-paced environment Adapts well when priorities, procedures, or business needs change Takes initiative and follows tasks through to completion Can help turn developing ideas into repeatable systems and procedures Has strong writing, computer, customer-service, and basic math skills Can learn construction terminology, materials, and pricing Is comfortable working independently while also collaborating closely with management Is interested in growing alongside the company Experience with construction, estimating, office administration, sales, or a home-service company is preferred. Experience with Housecall Pro, QuickBooks Online, Google Workspace, Canva, or construction estimating is a plus, but we will train the right person. This position will work closely with the owner and project manager. The employee will prepare estimates using established company pricing, with final approval provided by management during the training period.
