Job Description
The Bid Research & Project Assistance Coordinator is responsible for supporting the Estimating Department by identifying upcoming underground utility construction projects, tracking bidding opportunities, assisting with bid preparation, and ensuring all bid documents are completed accurately and submitted on time. This position will assist estimators with the front-end bidding process by researching projects, organizing bid documents, preparing submissions, and coordinating bid deliveries. The ideal candidate is highly organized, detail-oriented, able to manage multiple deadlines, and comfortable working in a fast-paced construction environment. Essential Duties & Responsibilities Bid Research Research public and private bidding opportunities related to underground utilities, water, sewer, drainage, and civil construction. Monitor bidding websites, municipalities, counties, utility districts, TXDOT, and other agencies for upcoming projects. Download plans, specifications, addenda, and bid documents. Maintain an organized bid calendar with bid dates, pre-bid meetings, deadlines, and project milestones. Review project requirements and notify estimators of potential bidding opportunities. Assist with tracking company qualifications and requirements for upcoming projects. Estimating Support Assist estimators with organizing bid packages. Prepare and complete contractor qualification forms and bid documents. Assist with proposal preparation and ensure all required documents are included. Track subcontractor and supplier quotes. Request and organize required bid documentation such as affidavits, certifications, bonds, and other required forms. Prepare bid folders (electronic and hard copy). Maintain accurate records of all active bids and submitted proposals. Bid Submission & Driving Responsibilities Submit bids electronically through agency procurement portals. Deliver sealed bids, proposals, and required documentation to agencies, municipalities, or project locations when required. Drive company vehicle to complete job-related responsibilities. Attend pre-bid meetings, and other project-related meetings as needed. Travel locally to support estimating and business development activities. Verify bid submissions are received before deadlines and maintain confirmation records. Administrative Support Maintain estimating files and project databases. Update bid tracking spreadsheets and reporting tools. Organize project documentation after bid submission. Assist with post-bid follow-up and documentation. Communicate professionally with municipalities, engineers, vendors, subcontractors, and clients. Assist with special projects assigned by management. Qualifications Education High School Diploma or GED required. Associate degree in Business Administration, Construction Management, or related field preferred. Experience 2-3 years of administrative, construction, estimating, or project coordination experience preferred. Experience with construction bidding, public works projects, or underground utilities is a plus. Required Skills Excellent organizational skills and attention to detail. Ability to manage multiple deadlines and priorities. Strong written and verbal communication skills. Professional customer service skills. Strong computer skills including Microsoft Office (Excel, Word, Outlook). Ability to learn construction bidding platforms and procurement websites. Ability to work independently and as part of a team. Valid driver's license with a clean driving record. Ability to safely operate a company vehicle.
