Job Description

Position Summary:
The Surgery Coordinator serves as a key point of contact for patients considering or scheduling ophthalmic procedures. This position combines patient coordination, customer service, administrative responsibilities, and a consultative sales approach to help patients feel informed and confident in moving forward with recommended treatment. The ideal candidate is personable, organized, comfortable discussing services and costs, and motivated by providing an exceptional patient experience.
Key Responsibilities:
Coordinate patient appointments, procedures, pre-operative visits, and postoperative follow-up. Communicate with patients by phone and in person regarding recommended procedures, next steps, scheduling, and expectations. Build rapport with patients and confidently explain the benefits, process, and value of recommended services. Follow up with prospective and existing patients to answer questions, overcome concerns, and encourage timely scheduling when appropriate. Discuss procedure-related fees, insurance benefits, financing options, and patient financial responsibilities. Maintain accurate patient records, consents, scheduling information, and other required documentation. Coordinate with physicians, clinical staff, and outside surgical facilities to ensure patients are prepared for their scheduled procedures. Provide clear pre- and postoperative instructions and serve as a resource for patient questions. Manage cancellations, rescheduling, follow-up calls, and other patient communication. Maintain a high level of professionalism, confidentiality, and attention to detail. Contribute to practice growth by delivering an excellent patient experience and identifying opportunities to educate patients about appropriate services offered by the practice.
Qualifications:
Previous experience in a medical office, healthcare, customer service, sales, or administrative role preferred. Strong interpersonal and communication skills with the ability to establish trust quickly. Comfortable discussing pricing, financial options, and services with patients. Confident, personable, and comfortable with follow-up and relationship-building. Highly organized with excellent attention to detail and the ability to manage multiple priorities. Comfortable learning new medical terminology, procedures, and software systems. Previous ophthalmology or surgical coordination experience is preferred but not required ; training will be provided. Professional, dependable, positive, and patient-focused.

The ideal candidate is a confident and personable communicator who enjoys working with people and has a natural ability to educate, build trust, and guide patients toward making informed decisions. A background in healthcare, hospitality, customer service, or sales can be a strong fit. The successful candidate will be comfortable taking initiative, following up with patients, and helping the practice provide both exceptional care and a strong overall patient experience.

$18.00 - $23.00 per hour Expected hours: 36.0 - 40.0 per week
