Job Description

The Preconstruction Assistant position will be in-office and will provide administrative, analytical, and coordination support to the Preconstruction team throughout the planning, budgeting, bidding, and design phases of construction projects. This role plays a critical part in ensuring project information is accurately organized, subcontractor participation is effectively managed, and estimating and budgeting efforts are supported from project pursuit through turnover to operations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment while working collaboratively with estimators, project executives, architects, owners, subcontractors, and other project stakeholders. Duties Champions "The Layton Way" by delivering predictable outcomes for internal teams, external teams, and customers. Ensures that "Constructing with Integrity" is delivered by working with honesty, unity, safety, and quality of work. Maintain vendor and trade partner databases. Coordinate bidding activities by distributing bid invitations, communicating with subcontractors and suppliers, and tracking bid participation Support estimating efforts by organizing drawings, specifications, addenda, bid documents, quantity takeoffs, estimate packages, and historical cost information. Maintain project documentation and document control systems, ensuring accurate and up-to-date project records, correspondence, contracts, proposals, and preconstruction deliverables. Coordinate meetings with owners, architects, engineers, consultants, and internal teams, including scheduling, preparing materials, documenting meeting outcomes, and tracking action items. Prepare reports, presentations, and other materials to support preconstruction planning, budgeting, and decision-making processes. Ensure that our subcontractors are prequalified as required throughout the estimating and bidding process Help the team hire the trade partners with the best safety records and avoid partners with poor safety records Support the preconstruction team as needed or as otherwise requested Qualifications Education Associate's degree or bachelor's degree in Construction Management, Engineering, Business Administration, or related field preferred. Equivalent combination of education and experience will be considered. Experience 1-3 years of construction, estimating, project coordination, administrative, or preconstruction experience preferred. Experience supporting commercial construction projects is preferred. Knowledge, Skills, and Abilities Strong organizational and time-management skills. Highly detail-oriented with the ability to manage multiple deadlines. Ability to read and interpret construction drawings and specifications preferred. Strong written and verbal communication skills. Proficient in Microsoft Excel, Word, Outlook, and Teams. Ability to work effectively with subcontractors, suppliers, clients, and internal project teams. Strong analytical and problem-solving skills. Ability to maintain confidentiality and professionalism.
