Administrative EstimatorJob Overview We are looking for an Administrative Estimator to join our growing restoration company. This is an office-based position focused on customer service, phones, scheduling, estimating, filing, documentation, and organization . You will often be the first person our customers speak with and will serve as the office connection between customers, Project Managers, field teams, and insurance companies.
In simple terms:
Take care of the customer, keep the office organized, keep the paperwork in order, and make sure estimates and job files are complete and accurate. Responsibilities Answer phones and provide friendly, professional customer service. Communicate with customers and keep them informed throughout the restoration process. Schedule on-site inspections, estimates, meetings, and appointments . Coordinate schedules with customers, Project Managers, technicians, adjusters, and vendors. Create, organize, and maintain customer and project files. File and organize photos, estimates, invoices, contracts, and other documents. Prepare and maintain restoration estimates using Xactimate . Review photos, measurements, notes, and scopes provided by the field team. Document mitigation, demolition, cleaning, repairs, and reconstruction. Review estimates for accuracy, make revisions, and assist with supplements. Communicate with insurance adjusters regarding estimates and documentation. Track estimates, approvals, supplements, and outstanding paperwork. Use Xactimate, Encircle, Monday.com , and other company software. Support Project Managers with administrative and estimating needs. Identify missing information or problems and communicate them early. Keep projects organized from the initial customer call through completion. Customer Service & Organization Customer service is a major part of this position. Our customers are often dealing with stressful situations, so we need someone who is professional, patient, helpful, and calm .
You should be able to:
Listen to customers and understand what they need. Explain next steps clearly. Schedule appointments accurately. Follow up and keep customers informed. Handle difficult or frustrated customers professionally. Keep files, paperwork, photos, and project information organized. Make sure nothing important falls through the cracks. When a customer calls, they should feel like someone is taking care of them. Skills & Qualifications Restoration, construction, estimating, insurance, or office experience preferred. Xactimate experience strongly preferred. Encircle experience is a plus. Strong computer, communication, and administrative skills. Excellent organization and attention to detail. Professional phone and customer-service skills. Ability to manage multiple calls, projects, schedules, and deadlines. Comfortable communicating with customers, adjusters, vendors, and coworkers. Strong team-player mentality. Strong moral character, integrity, and personal responsibility. Willingness to learn and take on additional responsibilities.
