Job Description
Bid Documentation and Compliance Compile all forms, certifications, and required documents for each bid (e.g., bid bonds, affidavits, subcontractor lists). Verify that proposals comply with contract and agency requirements prior to submission. Assist Estimators with formatting, assembling, and submitting complete and timely proposals. Maintain organized digital bid folders containing all relevant documents, communications, and pricing information. Bid Coordination Maintain and update the company's bid schedule in coordination with the Chief Estimator. Review invitations to bid for completeness and distribute relevant plans, addenda, and specifications to the estimating team. Track bid results and maintain a historical record of bid outcomes for reference and analysis. Subcontractor and Vendor Management Prepare and issue invitations to bid (ITBs) to subcontractors and suppliers through approved communication platforms. Track subcontractor and vendor interest to ensure proper coverage across all bid scopes. Collect and organize quotes for Estimator review prior to bid submission. Maintain an up-to-date subcontractor and supplier database with current contact and prequalification information. Administrative Support Maintain company prequalification packages, electronic bid submission software licenses, insurance certificates, and bonding information for use in bids. Set up new opportunities and bid items in estimating software (HCSS) and assist with data entry as needed. Support departmental reporting by updating metrics such as bid volume, hit ratio, and backlog forecasts. Maintain and improve standard templates, procedures, and checklists for bid preparation. Project Setup and Documentation Support Project Managers in setting up new projects in company systems, including budgets, cost codes, contracts, and subcontracts.
Pay:
