Operations Manager for an Upscale Landscape Design and Installation Company GreenRoots Design Firm GreenRoots Landscaping is a high-end landscape design and construction company that creates outdoor spaces that are truly unlike any other. GreenRoots installs all aspects beginning with expert and experienced landscape design through excellent detailed installation of pools, patios, decks, walkways, screening, pergolas, planting and the like. Position Summary The Operations Manager serves as the operational backbone of the company, ensuring projects, people, systems, and communication remain aligned from initial planning through project completion. This role exists to create structure, visibility, accountability, and stability across all areas of the business while supporting the company's mission of delivering thoughtful, high-quality outdoor spaces through integrity, transparency, and responsible execution. The Operations Manager is not only responsible for maintaining day-to-day operational function, but also for proactively identifying gaps, resolving issues before they escalate, and helping connect the many moving pieces involved in a full-service landscape design and construction company. This role requires someone who thrives in a fast-paced environment, can balance multiple priorities simultaneously, communicates clearly and professionally, and takes pride in helping create a company culture centered around accountability, trust, teamwork, and long-term excellence.
Core Responsibilities:
Operational Oversight Help oversee daily company operations across office, field, and project coordination Create and maintain systems that improve efficiency, organization, accountability, and communication Identify operational gaps and proactively work toward solutions before issues escalate Assist leadership in maintaining alignment between company goals and day-to-day execution Help ensure projects move efficiently through each phase from sales handoff through final completion Project Coordination & Support Support project managers, designers, and field teams through scheduling, logistics, communication, and administrative coordination Maintain visibility on active projects including timelines, budgets, labor allocation, and outstanding items Assist in coordinating subcontractors, deliveries, permits, inspections, and material procurement schedules Help maintain organized project documentation, scope details, change orders, and job tracking systems Monitor project flow to help reduce delays, confusion, and avoidable inefficiencies Financial & Administrative Support Help monitor operational efficiency Ensure accurate internal documentation, reporting, and record management Coordinate with accounting, payroll, vendors, subcontractors, and office administration as needed Help maintain compliance-related documentation including insurance certificates, contracts, W-9s, and related operational paperwork Hiring, Team Development & Employee Accountability Assist leadership in the hiring process including job postings, interview coordination, candidate evaluation, onboarding, and new hire integration Help identify team strengths, operational gaps, and staffing needs as the company grows Support employee development, enrichment, and long-term growth through communication, coaching, accountability, and operational support Help reinforce company values, expectations, professionalism, and workplace standards across all departments Assist in navigating employee performance concerns, corrective conversations, write-ups, and operational accountability in a professional and respectful manner Help foster a positive, team-oriented work environment centered around growth, communication, responsibility, and mutual respect Team Communication & Accountability Serve as a communication hub between leadership, office staff, project managers, field staff, vendors, and subcontractors Help reinforce company expectations, operational standards, and accountability systems Assist in maintaining a positive, solution-oriented work environment rooted in respect and professionalism Help facilitate problem solving while maintaining composure and professionalism under pressure Support leadership by helping create clarity, consistency, and follow-through across departments Customer Experience Help ensure clients receive clear communication, realistic expectations, and a high level of professionalism throughout the project experience Support the company mission of acting as trusted advisors rather than transactional contractors Help maintain long-term client trust through transparency, responsiveness, and responsible project coordination Assist in resolving customer concerns calmly, professionally, and proactively Qualifications Strong organizational and multitasking skills in a fast-paced environment Excellent communication and interpersonal skills Ability to problem solve proactively and think critically under pressure High level of accountability, professionalism, and follow-through Ability to manage sensitive information with discretion Experience in operations, project coordination, construction administration, landscape construction, or related fields preferred Experience assisting with hiring, employee management, or team development preferred Proficiency with project management and organizational software preferred Success in This Role Looks Like Projects are organized, visible, and proactively managed Team members have clearer communication, expectations, and accountability Leadership has increased operational visibility and support Problems are identified earlier and resolved more efficiently Employees feel supported, challenged, and aligned with company expectations and culture Customers feel informed, supported, and confident throughout the process Operational systems continue improving as the company grows The company functions more cohesively, consistently, and sustainably overall
Pay:
$70,000.00 - $85,000.00 per year
