This vital role offers an exciting opportunity to contribute to efficient office management, coordinate administrative functions, and support team success. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to take on diverse responsibilities that keep our office running smoothly and foster a positive workplace atmosphere. Duties Assist in managing day-to-day office operations, ensuring a seamless workflow across departments Coordinate scheduling and calendar management for executives and team meetings Oversee vendor relationships, including negotiating contracts and managing service deliveries Support human resources functions such as onboarding, training, and employee development initiatives Handle bookkeeping and basic accounting tasks using QuickBooks or similar software to maintain accurate financial records Manage payroll processing, ensuring timely and accurate employee compensation Organize office events, meetings, and team-building activities to promote engagement and collaboration Supervise front desk operations, including multi-line phone systems, visitor reception, and phone etiquette Maintain filing systems, manage document organization, and ensure confidentiality of sensitive information Assist with budgeting processes and monitor office supplies inventory to optimize resource allocation Qualifications Proven experience in office management or administrative roles with supervisory responsibilities Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent communication skills, both verbal and written, with a professional phone etiquette Experience with event planning, vendor management, and calendar scheduling Proficiency in QuickBooks for bookkeeping and payroll processing is highly desirable Knowledge of human resources practices including onboarding, training & development, and employee relations Demonstrated ability to supervise teams effectively while fostering a collaborative work environment Prior experience with clerical tasks such as filing, data entry, and front desk responsibilities Join us as an Assistant Office Manager where your organizational talent will drive efficiency and your leadership will inspire excellence.
