Job Description

Position Summary A regional commercial real estate property management company is seeking a detail-oriented and proactive Assistant Property Manager to support a portfolio of commercial properties from our Burlingame office. This role partners closely with Property Managers and plays a key role in tenant relations, vendor coordination, financial administration, and day-to-day property operations. Key Responsibilities Tenant & Customer Relations Serve as a professional point of contact for tenants, owners, and vendors Respond to tenant inquiries and coordinate service requests through completion Maintain positive tenant relationships and assist with issue resolution Property Operations & Administration Coordinate and track tenant service requests, work orders, and vendor follow-up Set up, maintain, and audit digital and physical lease, tenant, and vendor files Prepare written correspondence including tenant notices, memos, and reports Create and maintain tenant, vendor, and property contact lists Assist with service contracts, vendor documentation, and Certificates of Insurance (COIs) Financial & Reporting Support Assist with annual operating budget preparation and tracking Review and process invoices, work orders, and expense documentation Support lease administration and documentation accuracy Run and review property and financial reports as requested General Support Provide administrative support to Property Managers, including phones, scheduling, and correspondence Assist with special projects, property inspections, and audits as needed Ensure compliance with company policies, procedures, and property requirements Qualifications & Experience Required 3-5 years of experience in commercial property management or a related real estate role Strong verbal and written communication skills High attention to detail with strong organizational and follow-up skills Ability to manage multiple priorities with minimal supervision Proficiency in Microsoft Word, Excel, and Outlook Preferred Experience with property management software (e.g., Yardi or similar platforms) Basic understanding of real estate financials, budgets, and operating expenses College degree or equivalent combination of education and experience Familiarity with vendor management, COI tracking, and lease administration Core Competencies Customer service mindset Time management and prioritization Problem-solving and critical thinking Team collaboration and professionalism Adaptability in a fast-paced, deadline-driven environment Benefits Competitive salary commensurate with experience Health, dental, and vision insurance 401(k) retirement plan Paid time off and company holidays Hybrid schedule

$70,000.00 - $80,000.00 per year
