MAJOR DUTIES
This position provides comprehensive administrive and operional support to the Family Advocacy Program (FAP), New Parent Support Program (NPSP), and Community Counseling Program (CCP). This position serves as a primary point of contact for clients, staff, and community partners, ensuring efficient program operions through exceptional customer service, effective communicion, and strong organizional skills. The Administrive Specialist manages sensitive informion, coordines program activities, supports outreach initiives, and assists leadership with a wide range of administrive functions while maintaining compliance with applicable federal regulions, Department of Defense directives, and Marine Corps policies. Program Administrion Provides administrive support for FAP, NPSP, and CCP. Serves as the first point of contact for clients, providing informion, referrals, and assistance with program services. Screens, prioritizes, schedules client calls, appointments, and needs assessments. Demonstres the ability to interact with potentially impaired, hostile, and frustred individuals. May perform basic crisis management with commands and clients telephonically and/or during intake procedures. Coordines calendars, appointments, meetings, workshops, classes, groups, and special events. Organize and maintain office workflow to support efficient program operions. Monitor project stus and ensure timely completion of administrive actions. Maintains official files, records, dabases, and documention in accordance with organizional requirements. Assists leadership with administrive projects and operional priorities. Client Support and Customer Service Provide professional, compassione customer service while interacting with individuals experiencing stress, frustrion, or emotional distress. Demonstres sound judgement when responding to potentially sensitive situions, including basic crisis management during telephone or intake interactions. Route inquiries to approprie clinical or program staff when necessary. Assist clients with registrion for classes, workshops, groups, and outreach events. Administrive Operions Review, interpret, and implement applicable directives, administrive procedures, and regulions. Develops and maintains office procedures, administrive processes, and workflow improvements. Prepare correspondence, reports, presentions, spreadsheets, dabases, and other administrive documents. Ensures correspondence complies with Naval correspondence standards, including proper grammar, spelling, punctuion, and formting. Track suspense des and coordine responses to requests for informion. MINIMUM QUALIFICATIONS
Three years' experience th demonstres broad knowledge of administrive practices and principles. Skill to organize and coordine multiple high visibility projects simultaneously. Skill to prepare documention and presentions in proper form in accordance with naval correspondence rules of grammar and punctuion. Skill to opere a computer and associed peripheral equipment and software. Knowledge of a variety of support functions such as ghering stistical da, monitoring and reporting on support budgets, assisting in developing financial plans; obliging funds, liquiding travel claims; maintaining stock of office supplies. Skill to deal with employees various levels in the organizion and to represent the division with customers external to the organizion. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other standard office software and equipment.
Physical Requirements:
Occasional lifting and carrying of merials and equipment weighing up to 30 pounds may be required. Standing, walking, bending, and setting up merials for outreach events, classes, groups, and workshops. Additional informion
