Job Description
Overview We are seeking a dynamic and bilingual Office Assistant to join our team and help create a smooth, efficient office environment. This role is vital in supporting daily administrative operations, managing communication channels, and ensuring the office runs seamlessly. The ideal candidate will be energetic, highly organized, and fluent in both English and Spanish, ready to assist with a variety of clerical and customer service tasks. Responsibilities Greet visitors and clients professionally at the front desk, providing excellent customer support and assistance Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately Handle data entry tasks accurately using computer skills, including Microsoft Office and internal client portal database Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Assist with calendar management and scheduling appointments for staff or executives Perform general clerical duties such as proofreading documents, preparing reports, and managing correspondence Skills Bilingual fluency in English and Spanish to facilitate effective communication with diverse clients and team members Strong organizational skills with the ability to prioritize tasks efficiently Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar) Experience with office management, including front desk operations and multi-line phone systems Knowledge of bookkeeping software such as QuickBooks for financial record keeping is preferred but not mandatory. Will train the right candidate. Excellent phone etiquette and customer service skills to handle inquiries professionally Demonstrated clerical experience including data entry, filing, proofreading, and document management Effective time management skills to balance multiple responsibilities in a fast-paced environment Personal assistant or administrative support experience is a plus but not required Join us as a Bilingual Office Assistant to be an integral part of a vibrant team dedicated to maintaining an organized, welcoming workspace.
