Madison Mill is hiring a Bookkeeper / Office Manager to keep the financial and operational backbone of one of the most established specialty millwork manufacturers in North America running smoothly. We support training, professional development, and growth for people who earn it. The Role This is a hands-on role for a numbers-and-details professional. You will own the day-to-day bookkeeping and accounting — AP, AR, payroll entry, cash receipts, receipt of goods, audit prep, and assist with month-end and year-end close — and keep the office running so production, sales, and leadership can do their best work. You will work with the CFO, the leadership team, and our outside CPA to keep our financials clean, accurate, and on time — and you will assist with administrative, HR, compliance, and office management needs. You will report to the CFO. Key Activities and Responsibilities Bookkeeping and Accounting Record financial transactions — account maintenance, purchases, sales, receipts, cash deposits, and payments — into ledgers and accounting software accurately and on schedule; Manage accounts payable — enter vendor invoices accurately and on schedule, enter receipts of goods, maintain vendor profiles, and check/match/file payables packages when complete; Manage accounts receivable — invoice customers, apply payments, maintain customer profiles, check/match/file receivables packages when complete; Maintain monthly, quarterly, and annual accounting checklists; Maintain the general ledger; record journal entries, accruals, and prepaids; Assist with month-end and year-end close on a defined schedule; Contributing to the development and review of annual operating budgets and performance projections. Payroll and Benefits Administration Assist with processing payroll on schedule — enter payroll and applicable statistics into accounting software and maintain accruals as required; Maintain employee records, W-4s, I-9s, and new hire paperwork; Assist with payroll taxes; preparation of W-2s, 1099s, and year-end reporting on time. Office Management and Administration Be the front door to the office — greet visitors, answer the main line, and handle mail and shipping; Manage office supplies and equipment as directed by senior management — phones, copier, IT support, janitorial, and more; Maintain organized digital and physical files and records; Support HR functions — onboarding paperwork, employee files, and policy updates; Support the CFO and leadership team with scheduling, meeting prep, presentations, and ad hoc requests. Compliance, Controls, and Continuous Improvement Strong working knowledge and compliance with GAAP; Maintain documentation for tax, business licenses, insurance, and other compliance items; Coordinate with our outside CPA on tax filings, audits, and year-end work as directed by CFO; Protect information by understanding and following internal controls — segregation of duties, approvals, and documentation (3-way match process); Suggest improvements to our processes and reporting — we listen to the people doing the work. Requirements At least 3 years of full-cycle bookkeeping or staff accounting experience — manufacturing or distribution preferred; Strong proficiency with enterprise level accounting software required - experience with Sage 100 and digital filing systems preferred; Experience supporting multiple divisions and ERP implementation a preferred; Strong Excel skills — queries, pivot tables, VLOOKUP / XLOOKUP, basic formulas, and clean data hygiene; Solid understanding of GAAP basics — accruals, prepaids, fixed assets, and close procedures; Experience running payroll — through a service such as Paycor, Paychex, ADP, or in-house; Comfortable handling confidential financial with professionalism and discretion; Associate or bachelor's degree in accounting, finance, or business preferred; equivalent experience considered; CPA certification a plus but not required; Comfortable being on-site in an office attached to a working manufacturing plant; Spanish-language ability a plus. The Details Status:
Full-time, salaried.
Compensation:
$60,000 to $80,000 per year, commensurate with experience and skill.

Schedule:
Office hours are 8:00 AM to 5:00 PM, Monday through Friday with occasional ad-hoc after hours project duties. Consistent, full-time attendance is essential.
