Practice Manager -
Probate & Trust Administration Location:
Wakefield, Massachusetts | Fully In-Person Full-Time |
Starting Salary:
$65,000, commensurate with experience We are an estate planning and probate law firm seeking an experienced, highly organized Practice Manager to oversee the day-to-day operations of our probate and trust administration practice while also supporting the legal team with hands-on work as needed. This is a fully in-person position ideal for someone who enjoys working collaboratively with a team, building strong working relationships, and being actively involved in the day-to-day operation of a professional law office. This is a multifaceted role that combines legal support, practice management, staff leadership, and office operations. The successful candidate will help ensure that probate and trust administration matters stay on track, deadlines are met, employees have the training and resources they need, and the office operates efficiently and professionally. Candidates must have worked in Massachusetts probate, trust administration, estate planning, or a closely related practice area within the past five years. Responsibilities Oversee the day-to-day operations and workflow of the probate and trust administration practice, ensuring matters remain organized and progress efficiently. Monitor caseloads, deadlines, filings, follow-ups, and outstanding tasks, and help allocate work and resources appropriately. Work closely with attorneys and staff to identify issues, improve workflow, and develop practical solutions. Develop and maintain procedures, checklists, training materials, and systems to promote consistency and efficiency. Supervise and support legal and administrative staff, including scheduling, timekeeping, onboarding, training, and day-to-day guidance. Oversee general office operations, including vendors, technology, supplies, expenses, insurance, and service agreements. Support firm management with employee, operational, and administrative matters as needed. Provide hands-on probate, trust administration, estate planning, and administrative support when necessary. Maintain professionalism, confidentiality, and sound judgment when handling client, employee, and firm matters.
Qualifications Required:
Recent experience working in Massachusetts trusts & estates law within the past five years . Strong working knowledge of Massachusetts probate and trust administration procedures, including fiduciary accounting preparation and M-706 filings. Experience working as a paralegal, legal assistant, practice manager, office manager, or in a similar legal operations role. Ability and willingness to perform hands-on legal support work when needed. Demonstrated ability to manage multiple priorities, deadlines, and people in a fast-paced professional environment. Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Demonstrated leadership and interpersonal skills. Ability to handle confidential and sensitive information with discretion. Strong proficiency in Microsoft Word, Excel, and Outlook. Ability to work fully in person, Monday through Friday, 8:30am-4:30pm.
Strongly preferred:
Experience supervising or managing legal support staff. Experience managing a probate or trust administration caseload or practice group. Experience with employee onboarding and training. Experience managing vendors and negotiating contracts or service agreements. Experience developing office procedures and improving workflow. Experience working directly with attorneys and firm management on operational matters. You should be comfortable moving between practice management and hands-on work—whether that means helping a paralegal with a probate issue, following up on an overdue task, training a new employee, resolving a vendor problem, or improving an office process. Starting salary:
