POSITION SUMMARY

The Operations Manager serves as the Church's senior administrative and business operations leader and is responsible for planning, directing, coordinating, and evaluating the daily business, financial, and administrative functions of the Church. The position exercises independent judgment and discretion in managing organizational operations, developing and implementing administrative processes, recommending operational improvements, and ensuring effective stewardship of Church resources. The Operations Manager serves as a strategic advisor to the Pastor and church leadership on administrative, financial, operational, and human resource matters and is responsible for ensuring efficient, compliant, and effective organizational operations in support of the Church's mission and ministry. The position also serves as Executive Assistant to the Pastor, providing high-level administrative and organizational leadership.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Financial Management & Stewardship Serve as a primary point of contact for church members regarding questions related to tithes, offerings, and contributions Coordinate the preparation and distribution of annual contribution statements for tax reporting purposes Coordinate and administer financial recordkeeping processes and accounting activities in support of the Treasurer, Finance Committee, and external accountant while ensuring compliance with established procedures and internal controls Manage payroll processes, ensuring timely and accurate compensation for staff Serve as the primary administrative liaison to the Treasurer, Finance Committee, and external accountant, analyzing operational and financial needs and recommending solutions to support sound fiscal stewardship Prepare and analyze financial and operational reports for church leadership and provide recommendations to support informed decision-making and resource allocation Ensure proper handling of funds and adherence to internal controls and policies Executive Assistant to the Pastor Manage and strategically prioritize the Pastor's schedule, exercising independent judgment in coordinating competing priorities, meetings, and organizational initiatives Manage executive communications on behalf of the Pastor, exercising discretion in prioritizing inquiries and coordinating organizational responses Prepare and manage executive correspondence, official communications, and ministry documents on behalf of the Pastor and church leadership Plan and coordinate services, meetings, and speaking engagement Coordinate logistics for ministry activities and leadership meetings Provide pastoral and membership care support Maintain confidentiality and handle sensitive matters with discretion Administrative & Communication Support Compile and distribute weekly announcements and church-wide communications Draft church resolutions, official documents, and correspondence Develop, implement, and maintain administrative systems and operational procedures that improve organizational efficiency, accountability, and records management Coordinate and facilitate communication and operational collaboration across ministries and leadership to ensure alignment with organizational goals and priorities Facilities & Event Coordination Oversee and administer facility operations, establishing priorities, resolving scheduling conflicts, and ensuring efficient utilization of church resources Manage facility rental requests, agreements, and payments Plan and direct operational logistics for services, events, and ministry activities, evaluating organizational needs and implementing solutions to ensure successful execution Direct and oversee facility readiness, maintenance coordination, and operational planning to ensure church resources effectively support ministry and organizational objectives Vendor & Contractor Coordination Serve as point of contact for vendors, contractors, and service providers Manage vendor relationships and coordinate maintenance and facility projects, evaluating service needs and recommending cost-effective operational solutions Evaluate and coordinate the procurement of supplies and services, ensuring responsible stewardship of church resources and alignment with organizational priorities General Responsibilities Perform other duties as assigned to support the mission, ministry, and operational needs of the church. As organizational needs evolve, the Operations Manager may assume responsibility for coordinating, directing, and supervising administrative staff and volunteers and overseeing additional operational functions consistent with the position's purpose and scope.

MINIMUM QUALIFICATIONS

Minimum of 5years of administrative, operations, office management, or project management experience Experience administering business operations, financial recordkeeping, payroll processes, and organizational administration Experience supporting senior leadership (Pastor, Executive Director, or similar role) preferred Experience in a church or nonprofit organization preferred

• High School Diploma or GED required. Associate's or Bachelor's degree in business administration, office administration, or a related field preferred

REQUIRED SKILLS AND ABILITIES

Ability to operate in a fast-paced environment Strong organizational and time management skills Ability to analyze complex administrative and operational issues, exercise sound independent judgment, and effectively prioritize competing organizational demands Ability to operate in a remote work environment, if needed Excellent written and verbal communication skills in a diverse environment High level of discretion, professionalism, and confidentiality Proficiency in Microsoft Office (Word, Excel, Outlook) or similar tools Proficiency in Canva, Adobe, or other graphic design tools Proficiency with artificial intelligence (AI) tools, including ChatGPT and Microsoft Copilot

$37,440.00
