Job Description

Position Summary The Boys & Girls Club of Manteca is seeking an organized, proactive Administrative & Program Coordinator to support the administrative operations of our growing sports, camp, and recreation programs. This is an administrative position. The Coordinator will manage registrations, rosters, schedules, communications, and program logistics while helping BGCM identify and develop new camp and recreation opportunities for Club members and the broader community. The ideal candidate is highly organized, comfortable with technology, communicates professionally, and can take an idea and independently organize the details needed to make it happen. Key Responsibilities Manage the administrative coordination of BGCM sports leagues, camps, and recreational programs. Create and maintain participant registration forms using Microsoft Forms. Build, update, and manage participant rosters for Club members and community participants. Track registrations, enrollment capacity, waitlists, payments, and required participant information. Manage program calendars, schedules, deadlines, and administrative timelines. Communicate professionally with parents, families, coaches, instructors, vendors, and community partners by email and phone. Send registration confirmations, reminders, schedules, and program updates to families. Coordinate administrative details for camps, including dates, times, age groups, enrollment limits, and instructor information. Help identify opportunities for new sports, recreation, enrichment, and specialty camps based on community interest. Research potential instructors, coaches, vendors, and program partners. Assist with outreach to current Club families and community members to increase enrollment. Maintain accurate and organized digital records. Support other administrative projects as assigned. Required Skills & Qualifications Strong computer and technology skills. Proficiency with Microsoft Forms. Proficiency with email, electronic calendars, scheduling, and Microsoft Office. Strong written and verbal communication skills. Excellent organization and attention to detail. Ability to manage multiple programs, deadlines, and participant lists simultaneously. Comfortable communicating directly with parents and community members. Ability to work independently and follow projects through to completion. Strong problem-solving skills and willingness to research answers independently. Ability to learn new software and systems quickly. What We're Looking For We are especially interested in someone who is a self-starter. This position requires more than completing assigned administrative tasks. We want someone who can recognize what needs to happen next, organize the details, communicate effectively, and keep projects moving without constant direction. Creativity is also important. The Coordinator will be encouraged to bring forward ideas for new camps and recreational opportunities that can engage youth, serve families, and expand BGCM programming.
