Position Overview We are seeking a highly organized and detail-oriented Administrative Assistant / Operations Coordinator to support a variety of administrative, logistics, inventory, and operational activities. This position is ideal for someone who enjoys variety in their work, is comfortable managing multiple tasks, and thrives in a small business environment where teamwork and adaptability are important. The position is currently part-time, approximately 20 hours per week, with afternoon hours preferred. While we have some flexibility for the right candidate, candidates should generally be available during afternoon business hours, Monday-Friday from 12:00-5:00pm. Responsibilities Administrative Support
Receive, sort, and scan incoming mail
Scan checks for deposit
Enter receipts and expenses into QuickBooks
Maintain electronic records and filing systems
Provide general administrative support Shipping & Logistics
Create shipping labels
Track shipments and obtain proof of delivery
Coordinate shipment and receipt of implants and demonstration materials
Update case and shipment information within company systems Inventory & Purchasing
Monitor inventory levels
Assist with purchasing office and operational supplies
Perform receiving inspections of incoming materials
Maintain inventory records Marketing & Sales Support
Schedule approved social media posts
Maintain marketing materials
Prepare and ship demonstration kits and promotional items Production & Case Support
Assist with packaging preparation for implant cases
Acquire and organize customer CT scans
Support case coordination activities
Review documentation for completeness as trained Additional Duties
Support special projects and process improvement initiatives
Perform data entry and system updates
Assist with general operational needs as assigned Qualifications Required
High school diploma or equivalent
Strong organizational and time-management skills
Excellent attention to detail
Proficiency with Microsoft Office (Outlook, Word, and Excel)
Strong written and verbal communication skills
Ability to work independently and manage multiple priorities Preferred
Administrative experience
QuickBooks experience
Salesforce or CRM experience
Experience in manufacturing, healthcare, medical device, logistics, or other regulated industries
