Administrative Assistant / Operations Coordinator (Part-Time)
Location:
On-site, Canton, CT Pay:
$20/hour
Schedule:
Approximately 20 hours per week, Monday-Friday, afternoons (typically 12:00 PM-5:00 PM) Potential for

Position Overview We are seeking a highly organized and detail-oriented Administrative Assistant / Operations Coordinator to support a variety of administrative, logistics, inventory, and operational activities. This position is ideal for someone who enjoys variety in their work, is comfortable managing multiple tasks, and thrives in a small business environment where teamwork and adaptability are important. The position is currently part-time, approximately 20 hours per week, with afternoon hours preferred. While we have some flexibility for the right candidate, candidates should generally be available during afternoon business hours, Monday-Friday from 12:00-5:00pm. Responsibilities Administrative Support
  • Receive, sort, and scan incoming mail
  • Scan checks for deposit
  • Enter receipts and expenses into QuickBooks
  • Maintain electronic records and filing systems
  • Provide general administrative support Shipping & Logistics
  • Create shipping labels
  • Track shipments and obtain proof of delivery
  • Coordinate shipment and receipt of implants and demonstration materials
  • Update case and shipment information within company systems Inventory & Purchasing
  • Monitor inventory levels
  • Assist with purchasing office and operational supplies
  • Perform receiving inspections of incoming materials
  • Maintain inventory records Marketing & Sales Support
  • Schedule approved social media posts
  • Maintain marketing materials
  • Prepare and ship demonstration kits and promotional items Production & Case Support
  • Assist with packaging preparation for implant cases
  • Acquire and organize customer CT scans
  • Support case coordination activities
  • Review documentation for completeness as trained Additional Duties
  • Support special projects and process improvement initiatives
  • Perform data entry and system updates
  • Assist with general operational needs as assigned Qualifications Required
  • High school diploma or equivalent
  • Strong organizational and time-management skills
  • Excellent attention to detail
  • Proficiency with Microsoft Office (Outlook, Word, and Excel)
  • Strong written and verbal communication skills
  • Ability to work independently and manage multiple priorities Preferred
  • Administrative experience
  • QuickBooks experience
  • Salesforce or CRM experience
  • Experience in manufacturing, healthcare, medical device, logistics, or other regulated industries
  • Inventory management or purchasing experience What We're Looking For The ideal candidate is:
