Position Summary CWI Industrial Services, Inc. is seeking an organized, dependable, and proactive Operations / Administrative Coordinator to support the daily operations of our growing industrial contracting company. This position serves as a key connection between field operations, project management, administration, accounting, vendors, and customers. The ideal candidate is highly organized, comfortable managing multiple priorities, and able to work effectively in a fast-paced construction and industrial service environment. The Operations / Administrative Coordinator will assist with project scheduling, employee and crew coordination, purchasing, rental equipment, documentation, customer requirements, and general administrative functions necessary to keep projects and daily operations running efficiently. This is a full-time onsite position in Lakeland, Fl - Monday - Friday 7:30am-4:00pm Key Responsibilities Operations & Project Coordination Assist management with scheduling field employees, crews, and project assignments. Coordinate project mobilizations, site access, employee requirements, and customer documentation. Maintain project schedules and communicate changes to employees and management. Coordinate rental equipment deliveries, pickups, extensions, and returns. Track rental equipment assigned to individual projects and assist with verifying associated costs and customer billing. Assist with material and equipment purchasing, including requesting vendor pricing and preparing purchase information. Coordinate deliveries of materials, equipment, tools, and supplies to jobsites. Communicate with field supervisors and project managers regarding project needs, scheduling, and documentation. Maintain organized project files, including purchase orders, proposals, rental records, delivery documentation, and customer correspondence. Assist with tracking project costs, purchase orders, and other operational information. Help ensure customer-specific requirements are completed before employees mobilize to jobsites. Administrative Support Answer and direct phone calls and emails as needed. Prepare professional correspondence, forms, spreadsheets, and internal documents. Maintain electronic and physical company records. Assist with data entry and document organization. Maintain vendor and customer information. Assist management with calendars, meetings, scheduling, and follow-up items. Help maintain company trackers for equipment, inventory, rentals, projects, and purchasing. Assist with obtaining certificates, vendor documents, and other project-related documentation. Communicate professionally with customers, vendors, employees, and subcontractors. Provide general administrative support to management and other departments as needed. Qualifications Previous administrative, operations, project coordination, or construction-related experience preferred. Strong organizational and time-management skills. Ability to manage multiple projects, deadlines, and changing priorities. Strong written and verbal communication skills. Professional and comfortable communicating with customers, vendors, management, and field employees. Strong attention to detail and follow-through. Proficiency with Microsoft Outlook, Excel, Word, and general computer applications. Experience with QuickBooks Online is a plus. Experience working in construction, industrial services, mechanical contracting, fabrication, or a related field is a plus. Ability to learn company processes, customer requirements, and industry terminology. Ability to work independently while also collaborating with multiple departments. Ideal Candidate The ideal candidate is someone who takes ownership of their responsibilities and does not wait to be reminded of every task. This individual should be comfortable following up with vendors, employees, customers, and management to keep projects moving. Because priorities can change quickly in industrial contracting, the successful candidate must be able to reorganize their workload, communicate changes clearly, and remain organized when managing several projects at once. Work Environment This is primarily an in-office position supporting both office and field operations. The position involves frequent communication with field employees, project managers, vendors, customers, and company leadership. Occasional visits to jobsites or company facilities may be required.
