We are a small, active company involved in real estate, construction/project management, property management, and general business operations. Because of the variety of work we handle, we are looking for someone who can do more than basic clerical work. The ideal candidate is someone who enjoys keeping things organized, following up on pending items, communicating with different people, managing multiple priorities, and making sure tasks do not fall through the cracks. This position will work closely with company management and will have the opportunity to take on additional responsibilities as they become familiar with our business. Responsibilities Provide daily administrative and organizational support to management. Maintain calendars, appointments, meetings, reminders, deadlines, and follow-up items. Keep a clear and organized list of pending tasks and help ensure they are completed on time. Answer and manage phone calls, emails, correspondence, and general office communications. Prepare professional letters, emails, forms, reports, spreadsheets, and other business documents. Organize and maintain electronic and physical files. Scan, save, name, organize, and retrieve documents efficiently. Assist with invoices, receipts, purchase records, and other basic administrative accounting documentation. Communicate and follow up with vendors, contractors, tenants, consultants, government offices, and other business contacts when necessary. Assist with administrative tasks related to real estate, construction projects, and property management. Schedule appointments, inspections, meetings, deliveries, and other business activities. Track documents, applications, contracts, proposals, permits, invoices, and other pending items. Order office supplies and help maintain an organized and professional office. Perform data entry and maintain accurate company records. Assist management with special projects and other day-to-day business needs. Learn and use the software and systems used by the company. Identify items requiring attention and proactively follow up rather than waiting to be reminded. What We Are Looking For The right person for this position should be: Extremely organized and detail-oriented. Reliable, punctual, and responsible. Proactive and comfortable taking initiative. Able to work independently and follow through on assignments. Capable of managing multiple tasks and priorities at the same time. Comfortable reminding others about deadlines and following up on incomplete items. Professional when communicating by telephone, email, and in person. Able to handle confidential business information appropriately. A strong written and verbal communicator. Comfortable working with computers and learning new software. Able to solve routine problems independently and know when an issue should be brought to management's attention. Interested in growing with the company and taking on greater responsibility over time. Qualifications Previous administrative, office assistant, office coordinator, executive assistant, or similar experience preferred. Strong computer skills required. Experience with Microsoft Word, Excel, Outlook, and PDF documents preferred. Good typing and data-entry skills. Strong organizational and time-management skills. Professional English communication skills required. English/Spanish bilingual ability strongly preferred. Experience in real estate, property management, construction, bookkeeping, or project administration is a plus, but not required. Experience with property-management or business-management software is a plus. College degree is not required; relevant experience, ability, organization, and dependability are more important. Compensation Starting pay:
$20.00 per hour Full-time position with the opportunity to grow in responsibilities as the employee demonstrates ability, reliability, and knowledge of the company's operations.
