ABOUT PITTMAN LAW GROUP
Pittman Law Group (PLG) is a boutique law firm and government relations practice based in Tallahassee, Florida. Since 2001, the firm has provided legal and governmental representation, with experience in administrative law, education law, local government law, and government relations. Our work places our team in regular interaction with clients, business leaders, elected officials, government agencies, community leaders, and other key stakeholders. We are seeking an experienced Administrative Director who can provide high-level administrative and executive support to firm leadership. We are looking for a highly organized, resourceful professional who exercises sound judgment, anticipates needs, protects confidential information, manages competing priorities, and can confidently represent the firm when interacting with clients and high-level stakeholders.
POSITION OVERVIEW
Reporting to the Chief Operating Officer, the Administrative Director will oversee the firm's day-to-day administrative operations while helping leadership remain organized, prepared, and focused on the firm's highest priorities. The successful candidate will be comfortable working in a fast-paced, high-expectation professional environment where schedules change, priorities compete, confidentiality is essential, and details matter. This individual must be capable of determining what requires leadership's attention, what can be handled independently, and what needs to be anticipated before it becomes a problem.
KEY RESPONSIBILITIES
Office & Administrative Leadership
Manage the daily administrative operations of the Tallahassee office and ensure an organized, professional, and efficient workplace.
Supervise and provide direction to administrative support staff.
Establish and improve administrative systems, processes, procedures, and workflows.
Coordinate across departments to ensure information, assignments, deadlines, and resources move effectively throughout the organization.
Manage vendors, office services, facilities, maintenance, supplies, business registrations, and other operational needs.
Coordinate with Human Resources and Information Technology regarding onboarding and offboarding of employees. Executive Support & Scheduling
Manage complex calendars, meetings, appointments, deadlines, travel, speaking engagements, and other commitments for firm leadership.
Anticipate scheduling conflicts and operational needs and resolve issues proactively.
Coordinate travel arrangements, accommodations, transportation, itineraries, and related logistics.
Prepare leadership for meetings by coordinating agendas, background materials, schedules, documents, and other necessary information.
Track commitments, assignments, deadlines, and follow-up items to ensure important matters do not fall through the cracks. Client & Stakeholder Relations
Provide a responsive, polished, high-touch experience for clients and visitors.
Exercise diplomacy and discretion when managing sensitive relationships, competing requests, and access to firm leadership.
Represent Pittman Law Group professionally when communicating on behalf of firm leadership. Communications, Meetings & Events
Draft and prepare professional correspondence, emails, letters, memoranda, reports, meeting materials, and other communications.
Coordinate internal and external meetings, client meetings, firm events, receptions, and other professional engagements.
Manage meeting logistics, materials, participants, action items, and post-meeting follow-up.
Recognize when the wording, timing, audience, or method of a communication could create unintended client, political, organizational, or reputational concerns. Confidentiality & Judgment
Handle sensitive legal, client, personnel, financial, political, and strategic information with exceptional discretion.
Exercise sound independent judgment and appropriately determine when matters should be handled, delegated, or escalated.
Maintain awareness of relationships, organizational dynamics, and reputational considerations associated with the firm's work.

QUALIFICATIONS
Minimum of 5 years of progressively responsible administrative, executive support, office management, or operations experience ; significant real-world experience is highly valued. Bachelor's degree in business administration, management, communications, public administration, or a related field preferred but not required .
Demonstrated experience supporting senior executives or organizational leadership.
Experience supervising or directing administrative staff preferred.
Excellent written and verbal communication skills.
Advanced organizational, scheduling, project-management, and problem-solving abilities.
Strong proficiency with Microsoft Outlook, Word, Excel, and modern workplace productivity and communication technology.
Ability to maintain confidentiality and exercise independent judgment in sensitive situations.
Experience in a law firm, government relations practice, professional services firm, executive office, government environment, or similarly high-level professional setting is strongly preferred.
Experience with event management, contracts, human resources, or paralegal/legal administration is a plus.

Full-Time Schedule:
Monday-Friday, 8:30 a.m.-5:30 p.m., with flexibility when business needs require.
