Job Description

A.D. Makepeace Company is seeking a highly organized and dependable Administrative Coordinator to provide administrative and coordination support for the Company's insurance and risk management activities. This is an excellent opportunity for someone who enjoys keeping things organized, managing details, following up on outstanding items, maintaining accurate records, and working with a variety of people and priorities. Insurance experience is helpful but not required. We are looking for a strong administrative professional who is comfortable learning new systems, processes, and subject matter. The Administrative Coordinator will work closely with the CFO, internal departments, insurance brokers, carriers, adjusters, attorneys, and other outside partners to ensure information is accurate, documentation is complete, deadlines are met, and issues are followed through to resolution. What You'll Do Coordinate the day-to-day administrative activities associated with the Company's commercial insurance programs. Maintain organized electronic records, including policies, claims, renewals, correspondence, invoices, and related documentation. Coordinate insurance renewals by gathering and organizing requested information, maintaining schedules and deadlines, and following up on outstanding items. Assist with the administration of insurance claims from initial reporting through resolution. Track claim status, documentation, outstanding items, and follow-up dates and provide updates to the CFO. Coordinate communication and follow-up among the CFO, internal departments, brokers, carriers, adjusters, attorneys, third-party administrators, and other outside professionals. Maintain insurance schedules and related information, including vehicles, equipment, property, and other company assets. Coordinate the issuance, receipt, tracking, and maintenance of Certificates of Insurance (COIs) through Trust Layer and internal departments. Monitor insurance requirements associated with contracts, leases, vendors, and other agreements and coordinate questions with the appropriate internal or external resource. Respond to routine administrative inquiries and direct questions requiring specialized insurance knowledge to the CFO or appropriate outside professional. Identify missing information, upcoming deadlines, and outstanding items and proactively follow up to keep work moving. Maintain confidentiality and discretion when handling claims, employee information, financial information, legal matters, and other sensitive documentation. Perform other administrative and coordination duties as assigned. What We're Looking For Strong administrative and organizational skills with exceptional attention to detail. Demonstrated ability to manage multiple priorities, track deadlines, maintain accurate records, and consistently follow through. Strong written and verbal communication skills and the ability to work professionally with employees, management, and outside business partners. Proactive, dependable, and self-directed approach to work. Ability to identify missing information, anticipate follow-up needs, and keep others appropriately informed. Proficiency with Microsoft Office, including Word, Excel, and Outlook, and the ability to learn company-specific systems and processes. Ability to handle confidential and sensitive information with professionalism and discretion. Insurance or claims administration experience is helpful but not required. Experience in an administrative, coordination, office management, project support, or similar role is welcome. Willingness and ability to learn commercial insurance processes and terminology. Hours This is a part-time position scheduled for 20-25 hours per week . Additional hours may occasionally be needed during insurance renewals, audits, significant claims activity, or other business needs. Why This Role? Pay:
