Pulaski County Group Home is a 501(c)(3) nonprofit organization providing group home, Individualized Supported Living (ISL), and out-of-home respite services for adults with developmental disabilities. PCGH operates facilities across multiple locations in the Pulaski County area, including the Group Home in Crocker, Respite facility in Richland, and ISL programs in St. Robert and Waynesville. Services are funded through Missouri Department of Mental Health (DMH) contracts under the Comprehensive and Community Support Medicaid waivers.
Position Summary:
The Administrative Assistant/Training Coordinator is responsible for providing administrative support, maintaining accurate records and documentation, and coordinating staff training and development. This position works closely with leadership, supervisors, and staff to ensure administrative processes, regulatory requirements, documentation, and training expectations are consistently met. Administrative Responsibilities Provide daily administrative support to leadership and management. Maintain organized electronic and paper files, records, forms, and reports. Prepare correspondence, documents, spreadsheets, reports, meeting materials, and other administrative documents. Maintain calendars, schedules, meetings, and appointments as needed. Assist with tracking staff information, certifications, training requirements, and expiration dates. Assist with onboarding paperwork and new-hire documentation. Communicate professionally with employees, supervisors, families/guardians, outsideagencies, and other stakeholders. Maintain confidentiality of employee, individual, and organizational information. Assist leadership with special projects and other administrative duties as assigned. Training & Staff Development Responsibilitie s Coordinate and maintain the organization's staff training program. Maintain accurate training records for all employees. Track required initial, annual, recurring, and certification-based training. Monitor training expiration dates and communicate upcoming requirements to supervisors and employees. Schedule and coordinate instructor-led, online, and in-person training. Assist with new employee orientation and onboarding training. Develop, organize, and update training materials, presentations, handouts, and resources. Assist supervisors and leadership in identifying staff training needs. Deliver or assist with staff training as qualified, including organizational policies, procedures, compliance requirements, and other assigned topics. Coordinate CPR/First Aid and other required certification training as applicable. Evaluate training completion and maintain documentation demonstrating compliance with training requirements. Assist with developing refresher training when documentation errors, compliance concerns, incidents, or quality trends indicate a training need. Support ongoing staff development and competency-building initiatives.
Minimum Qualifications:
High school diploma or equivalent required; associate or bachelor's degree in business administration, healthcare administration, human services, education, or a related field preferred. Experience in administration, compliance, quality improvement, training, healthcare, human services, or a related field preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to maintain confidential information. Strong attention to detail and ability to identify documentation discrepancies. Proficiency with Microsoft Office, spreadsheets, email, electronic documentation systems, and other administrative software. Ability to work independently while also collaborating effectively with leadership and staff. Ability to manage multiple deadlines and priorities. Experience developing or delivering staff training is preferred. Knowledge of Missouri Department of Mental Health requirements and residential services is preferred.
