Administrative Assistant / Insurance Claims Coordinator

Job Description

We are a company specializing in returning homes and properties to their pre-loss condition following fire, water, smoke/puff back, and other property damage . We are looking for a highly organized, detail-oriented Administrative Assistant / Insurance Claims Coordinator to join our team. This position will play an important role in keeping projects organized from the initial loss through completion, while coordinating with homeowners, insurance companies, adjusters, contractors, and our internal team. The ideal candidate has experience with homeowners insurance claims , understands the restoration process, is comfortable communicating with insurance adjusters, and has strong administrative and accounting skills. Key Responsibilities Manage administrative tasks for residential restoration projects from start to finish. Communicate professionally with homeowners, insurance adjusters, insurance carriers, contractors, and vendors. Assist with opening, tracking, and following up on homeowners insurance claims. Review insurance claim information, estimates, scopes of work, and documentation. Communicate with adjusters regarding project scope, pricing, supplements, and changes in work. Prepare and send customer invoices and insurance-related documentation. Use QuickBooks for invoicing, payments, account tracking, and general administrative accounting functions. Track outstanding invoices, insurance payments, deductibles, and customer balances. Maintain accurate project files, including estimates, work authorizations, photographs, invoices, insurance documents, and correspondence. Follow up on outstanding insurance payments and required claim documentation. Coordinate schedules and paperwork between homeowners, field staff, contractors, and the office. Enter and maintain accurate customer and project information in company systems. Assist with accounts receivable and other bookkeeping-related administrative duties. Answer phones, respond to emails, and provide professional customer service. Help ensure projects move efficiently through the administrative and billing process. Perform other administrative duties as needed to support the restoration team. Qualifications Previous experience in property restoration, insurance claims, construction administration, or a related field strongly preferred. Homeowners insurance claims experience required or highly preferred. Working knowledge of the insurance claims process, including adjusters, estimates, deductibles, scopes of work, supplements, and claim documentation. Experience with QuickBooks and customer invoicing. Strong computer skills and ability to learn industry-specific software. Excellent written and verbal communication skills. Strong organizational skills and exceptional attention to detail. Ability to manage multiple projects and deadlines simultaneously. Professional and empathetic when working with homeowners who have experienced property damage. Ability to communicate effectively with insurance companies and adjusters. Strong problem-solving and follow-up skills. Ability to work independently while also being an effective member of a team. Preferred Experience Experience with restoration-industry software such as DASH is a plus. Experience with water mitigation, fire/smoke restoration, puff-back/soot cleanup, contents, reconstruction, or property damage restoration is also strongly preferred. The right person will understand that restoration work can be stressful for homeowners and will provide clear, professional communication throughout the process. Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
