We are seeking a Front Office & Administrative Coordinator to join our school community and play an important role in the day-to-day experience of students, families, faculty, and staff. Position Overview The Front Office & Administrative Coordinator serves as one of the first points of contact for our community. This position combines a warm, welcoming presence with strong organizational and operational skills. The successful candidate will oversee key front-office functions, including attendance, dismissal, communication, visitor management, security procedures, and limited purchasing. Equally important, this person will bring a continuous-improvement mindset to the role—looking for ways to make school systems more efficient, cost-effective, safe, and user-friendly. This is an ideal position for someone who enjoys both people and systems: someone who can warmly greet a parent in the morning, efficiently manage a dismissal change, troubleshoot an operational issue, and then step back and ask, "Is there a better way to do this?" Essential Responsibilities Front Office & Community Experience Serve as a welcoming and professional first point of contact for students, families, visitors, faculty, and staff. Manage daily front-office operations and maintain an organized, welcoming environment. Answer and direct phone calls, emails, and routine inquiries. Provide accurate information and connect families and visitors with the appropriate members of the school community. Maintain appropriate confidentiality and discretion when handling student, family, and school information. Attendance & Dismissal Coordinate daily student attendance processes and maintain accurate records. Manage late arrivals, early dismissals, and changes to student dismissal plans. Support consistent and efficient dismissal procedures across the school. Communicate attendance and dismissal information clearly to families, faculty, and administrators. Evaluate existing attendance and dismissal systems and recommend improvements where appropriate. Safety & Security Manage front-office visitor procedures and building access protocols. Monitor front-office activity and maintain awareness of individuals entering and exiting the building. Support school safety and emergency procedures. Partner with school leadership to ensure front-office safety practices are consistent, clear, and effective. Identify opportunities to improve safety-related systems, tools, and procedures. Purchasing & Resource Stewardship Coordinate limited purchasing for designated school and front-office needs. Monitor routine supply needs and seek cost-effective solutions. Help reduce unnecessary spending, duplication, and administrative inefficiencies. Qualifications Previous administrative, office, school, or customer-service experience preferred. Excellent written and verbal communication skills. Strong organizational and time-management skills. Proficiency with common office technology and willingness to learn new systems. Ability to maintain confidentiality and exercise sound judgment. Schedule:
Monday to Friday during the school year (September to June), with some flexibility in the exact hours. Hours during the summer are also a possibility.
