Monday-Friday Pay:
$24-$28 per hour, depending on qualifications and experience Comfort Keepers of the Western Slope is seeking an experienced Billing and Payroll Coordinator to manage client billing, payer authorizations, accounts receivable, claims follow-up, and caregiver payroll preparation. This position helps ensure our caregivers are paid accurately and on time, our clients receive accurate bills, and outstanding claims and payment issues are followed through to resolution. Hands-on experience with WellSky Personal Care and Change Healthcare and/or Waystar is required, including third-party billing for Veterans Affairs (VA) and Medicaid. We need someone who is extremely reliable, organized, comfortable communicating with clients and payer representatives, and willing to investigate discrepancies until they are resolved. Billing and payroll are critical to our business, and meeting their deadlines is essential. Responsibilities Billing and payer administration Prepare, review, and submit accurate billing for private-pay clients, VA, Medicaid, and long-term care insurance. Review completed services and supporting documentation before submitting claims or invoices. Use WellSky Personal Care and Change Healthcare and/or Waystar to submit, track, and troubleshoot third-party payer claims. Request, receive, track, and verify government payer authorizations, including service dates, approved hours or units, reimbursement rates, and applicable billing requirements. Set up new clients in WellSky with accurate payer, billing, and authorization information. Monitor authorization expirations and coordinate renewal needs before coverage lapses. Coordinate long-term care insurance assignments of benefits and supporting documentation. Investigate rejected, denied, unpaid, and underpaid claims; correct issues; and submit rebilling when necessary. Stay current on Colorado Medicaid reimbursement rates, billing rules, documentation requirements, and technical updates, as well as VA billing practices. Communicate relevant payer changes to leadership and update procedures and system information as approved. Accounts receivable and client communication Maintain and review accounts-receivable aging reports across all payer sources. Record and apply payments accurately, reconcile them to invoices or claims, and investigate differences. Follow up professionally on outstanding claims and overdue client balances. Prepare invoices, credits, and account adjustments within established approval limits. Serve as a primary contact for client and family billing questions. Explain invoices, balances, payments, and adjustments clearly and professionally. Escalate significant or recurring collection concerns to leadership. Payroll Coordinate payroll preparation and finalize shifts in WellSky by established deadlines. Review recorded hours, missed punches, shift verification, and supporting information for completeness and accuracy. Work with scheduling and operations staff to resolve timekeeping and shift discrepancies. Ensure billing and payroll records accurately reflect completed caregiver services. Prepare and submit caregiver payroll data from WellSky into PrismHR according to established procedures and approval requirements. Investigate payroll questions and coordinate corrections with leadership and our payroll provider. Maintain clear records of payroll corrections, adjustments, and unresolved exceptions. Reporting, documentation, and accountability Provide regular summaries of outstanding balances, aging claims, rejected or denied claims, authorization gaps, and unresolved payroll issues. Notify leadership promptly of errors, system problems, or other issues that could affect billing, collections, or payroll deadlines. Maintain current, step-by-step procedures so another authorized team member can provide backup coverage. Keep accurate records of submissions, corrections, payer communications, and follow-up actions. Participate in management oversight, periodic reviews, and random audits of work and supporting records. Identify recurring problems and recommend practical improvements. Coordinate coverage and handoffs before planned absences. Protect confidential client, caregiver, and business information and complete required confidentiality and HIPAA agreements and training. Required qualifications At least two years of relevant U.S. healthcare billing experience, including claims follow-up and payment resolution. Hands-on experience with WellSky Personal Care . Hands-on experience with Change Healthcare and/or Waystar for electronic claims submission, tracking, and rejection resolution. Direct experience with VA and Medicaid billing , including authorizations and payer requirements. Experience with payroll preparation, timekeeping, or payroll reconciliation. Strong spreadsheet skills and comfort using payer portals and electronic business systems. Ability to reconcile hours, rates, authorizations, and payments accurately. Clear, professional written and verbal communication. Demonstrated reliability, sound judgment, and consistent follow-through. Ability to work independently while coordinating effectively with scheduling, operations, and leadership. Preferred qualifications Colorado Medicaid billing experience. Nonmedical home-care billing experience. Experience with private-pay billing and long-term care insurance assignments of benefits. Experience preparing payroll for hourly caregivers or other field-based employees. PrismHR experience is helpful but not required. We can train the right candidate on our PrismHR submission process.
