General Summary Valley Eye Physicians & Surgeons is a full-scope ophthalmology practice with locations in Ayer, Marlboro, and Worcester, Massachusetts, providing comprehensive and compassionate eye care to our communities. We are seeking a Practice Operations and Billing Coordinator to oversee daily operations across our practice. This is a hybrid role, split between in-office practice management and support of the billing function. The ideal candidate is a hands-on leader who is comfortable managing people and processes on site and is equally capable of front and back end administrative billing functions. This position works closely with providers, front desk staff, and billing personnel keep the practice running smoothly and to make sure patients have a positive experience from appointment scheduling through claim finalization. Key Responsibilities Practice Operations Oversee daily practice operations, including front desk monitoring, patient flow, and coverage during peak times. Manage payroll oversight, including reviewing and confirming payroll entries and timekeeping accuracy. Develop and maintain staff schedules and manage time off requests. Monitor incoming faxes and phone calls and make sure patient and provider needs are addressed promptly. Hire, train, and evaluate front desk and administrative staff, and support new staff onboarding. Establish, update, and enforce office policies and procedures. Maintain office supply inventory and coordinate equipment maintenance. Serve as a point of contact for staff and patients, addressing concerns and maintaining a positive office environment. Collaborate with clinical and administrative leadership to identify and implement workflow improvements. Billing Support the billing team with prior authorizations for procedures and medications. Process insurance referrals for specialist visits. Verify insurance eligibility and benefits as needed. Assist with patient account inquiries related to out-of-pocket estimates, self-pay balances, and payment plans. Support aging claims and patient and insurance accounts receivable follow-up as needed. Field general billing related questions from patients and staff. Maintain patient confidentiality and comply with healthcare regulations, including protection of protected health information (PHI). Qualifications High School Diploma or GED required; Bachelor's Degree strongly preferred. 3 to 5 years of healthcare or medical office experience, ophthalmology experience preferred. Minimum 2 years in a supervisory, lead, or management role preferred. Working knowledge of medical billing processes, including prior authorizations, referrals, and insurance eligibility. Experience with payroll oversight and staff scheduling. Proficiency with electronic medical record and practice management systems. Proficiency with Microsoft Outlook, Excel, and Word. Strong organizational, communication, and multitasking skills. Comfortable working independently in a hybrid environment that includes both in-office and remote responsibilities. Skills and Competencies Excellent interpersonal and telephone communication skills. Strong leadership and team management skills. Knowledge of medical terminology and insurance processes. Ability to prioritize and manage competing responsibilities across both in-office and remote duties. Commitment to patient-centered care and customer service excellence.
