Payroll & Billing Coordinator South Yarmouth, MA Apply The Payroll/Billing Coordinator is responsible for overseeing the payroll and billing function in the finance department Working with the Human Resources team and Finance/IT, the Payroll/Billing Coordinator is responsible for ensuring that systems are in place which provide for the most efficient and accurate flow of information and processing in all phases of payroll and billing administration; that employees receive a high level of customer service, guidance and assistance on payroll related issues. Responsible for overseeing Accounts Receivable functions and data entry of cash receipts, monitoring the aging for collection purposes. Closing of the books monthly and balance to the general ledger.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Ensure and safeguard CCI consumers? human dignity and rights and liberties. 1. Oversee all tasks necessary to accomplish the agency?s payroll processing objectives. This includes, timesheet management, and payroll processing to ensure employees are paid accurately and on a timely basis, per a predetermined schedule. Prepares and files a variety of reports/payments to meet these objectives; produces customized and standard reports from the payroll system, on a scheduled basis and/or as requested by management. Facilitates understanding of Managers and employees of payroll procedures; resolves issues and inquiries with a high level of customer service. Works with payroll vendor UKG (Kronos) Support/HR/Finance/IT to streamline processes and leverage the tools within the system for maximum effectiveness. Ensures compliance with all applicable state and federal wage and hour laws. A. Request assistance through the ticket system at Kronos/UKG to program/reprogram payroll related matters. B. Meet weekly/bi-weekly with Human Resources to review audit reports and changes, collaborate on making improvements/changes regarding any new initiatives or compliance requirements that impact both Human Resources and Payroll. Plan for annual events such as open enrollments, 1095s, W-2s, etc. C. Process Employment and Wage Verifications, requests from government agencies, mortgage companies, Social Security Administration, etc., in an accurate and timely manner. Provide quarterly wage information to the Department of Unemployment Assistance or as needed for claims. Provide wage information for disability and Workers Compensation claims and audits as requested D. Maintain current Payroll Administration documentation, detailing processes/contacts for backup and training purposes. 2. Oversee the processing of third party billing A. Collect and process information from third party billing agency B. Process billing for miscellaneous pay sources including other State Agencies and Private Pay C. Record all monthly charges and payments D. Enter cash receipts and apply the cash appropriately to each claim, SDR or invoice. E. Close AR system monthly - run reports, prepare sales and cash receipts entries for General ledger and balance AR trial balance to general ledger. F. Follow up on collection of all claims including resubmitting denied claims, adjusting claims, appealing claims if needed and all necessary correspondence with Masshealth and other State and not State Agencies. G. Coordinate annual Severity Profile Scoring Sheets to be submitted to Medicaid H. Work with Program Managers to resolve open eligibility issues when necessary. I. Maintain appropriate files.
