Kennebunk Center for Dentistry is seeking a highly organized, personable, and detail-oriented Dental Treatment Coordinator & Billing Specialist to join our dental team. This position plays an important role in helping patients understand and move forward with their recommended dental treatment while ensuring accurate insurance verification, billing, claims processing, and account management. The ideal candidate is warm, confident, professional, and comfortable discussing treatment and financial arrangements with patients . Strong communication skills, attention to detail, and dental insurance knowledge are essential. Key ResponsibilitiesTreatment Coordination & Patient Experience Review and explain proposed treatment plans to patients in a clear, compassionate, and easy-to-understand manner. Discuss treatment options, estimated fees, insurance benefits, and expected patient portions. Answer patient questions regarding treatment, insurance, financing, and payment options. Coordinate scheduling of treatment appointments and follow up with patients who have outstanding treatment plans. Maintain accurate treatment plan documentation and track treatment acceptance. Follow up with patients who have not yet scheduled recommended treatment. Build trusting relationships with patients while providing a positive and professional experience. Coordinate with dentists, hygienists, assistants, and front-office staff to ensure smooth patient flow. Communicate treatment recommendations and financial information effectively between the clinical and administrative teams. Insurance Verification & Billing Verify dental insurance eligibility, benefits, deductibles, annual maximums, frequency limitations, waiting periods, and coverage. Obtain and document accurate insurance benefit information prior to treatment whenever possible. Prepare and submit dental insurance claims accurately and promptly. Review claims for accuracy and ensure appropriate documentation, narratives, radiographs, and attachments are included when necessary. Monitor outstanding and aging insurance claims and follow up with insurance companies regarding unpaid or delayed claims. Post insurance payments and adjustments accurately. Review explanation of benefits (EOBs) and reconcile discrepancies. Submit corrected claims and appeals when appropriate. Maintain accurate patient ledgers and account balances. Identify and resolve billing discrepancies. Process patient payments and assist with payment arrangements and financing options. Follow up on outstanding patient balances in a professional and respectful manner. Maintain knowledge of common dental insurance terminology, coding, and reimbursement procedures. Administrative Responsibilities Maintain confidentiality of patient information and comply with HIPAA requirements. Maintain accurate and organized patient records. Communicate effectively with insurance companies and dental laboratories or outside providers when necessary. Assist with accounts receivable and month-end billing responsibilities. Stay current with changes in dental insurance policies, billing procedures, and practice protocols. Participate in team meetings and contribute to improving office systems and patient experience. Perform other duties as needed to support the practice. Qualifications Previous experience in a dental office required. Experience with dental treatment coordination and insurance billing strongly preferred. Strong knowledge of dental insurance terminology, benefits, claims, and EOBs. Familiarity with dental CDT codes and common dental procedures. Excellent verbal and written communication skills. Strong attention to detail and organizational skills. Comfortable discussing treatment fees and financial arrangements with patients. Ability to confidently communicate with patients while maintaining empathy and professionalism. Strong computer skills and ability to learn dental practice management software. Ability to multitask and prioritize in a fast-paced dental environment.
