HOTSHOT INVOICER / BILLING SPECIALIST

Hotshot Service, LLC is seeking a dependable, organized, and detail-orientedInvoicer / Billing Specialistto join our team. This position will be responsible for preparing and sending customer invoices, tracking outstanding payments, maintaining accurate billing records, and assisting with accounts receivable. Position Responsibilities Prepare and send accurate customer invoices in a timely manner. Review completed loads, delivery tickets, bills of lading, and supporting documentation before invoicing. Verify customer billing information, rates, accessorial charges, mileage, detention, permits, and other applicable charges. Enter and maintain invoices in QuickBooks Online. Track open and outstanding invoices and maintain accurate Accounts Receivable records. Follow up professionally with customers regarding past-due invoices and payment status. Contact customer accounting departments when invoices become overdue. Apply customer payments to the correct invoices and maintain accurate payment records. Research and resolve billing discrepancies, short payments, duplicate invoices, and missing documentation. Monitor Accounts Receivable Aging and provide regular updates on outstanding balances. Maintain organized electronic records of invoices and supporting documents. Communicate with dispatch, drivers, management, customers, and accounting personnel regarding billing questions. Ensure invoices are submitted according to each customer's required billing procedure. Maintain a current list of customer billing requirements, including email addresses, portals, purchase orders, and required documentation. Assist with monthly account reconciliation and other accounting duties as assigned. Maintain confidentiality of company and customer financial information. Qualifications Previous invoicing, billing, accounts receivable, or accounting experience preferred. Experience with QuickBooks Onlinepreferred. Experience in the transportation, trucking, oilfield, logistics, or hotshot industry is a plus. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Professional written and verbal communication skills. Ability to follow up on past-due accounts in a professional and persistent manner. Ability to work independently and meet deadlines. Basic knowledge of Microsoft Office, Excel, email, and electronic document management. Must be dependable and maintain a high level of confidentiality. Ideal Candidate The ideal candidate is someone who is organized, reliable, proactive, and comfortable communicating with customers about money and outstanding invoices. You should be able to manage multiple customers and invoices while ensuring that billing is accurate and completed on schedule.
