Fircrest, WA Job Details Full-time $30 - $36 an hour 1 hour ago Benefits Health insurance Dental insurance 401(k) Paid time off Dependent health insurance coverage Vision insurance Qualifications Customer communication Administrative experience Client services Organizational skills Full Job Description Job Summary Lutz & Associates, P.S., a Washington family law firm, is seeking an experienced, highly dependable Law Firm Office Administrator / Billing & Client Operations professional to become a key member of our Fircrest office. This is a full-time, 100% in-office position. It is not remote and is not hybrid. This is not a narrowly defined receptionist or clerical role. The person in this position will help keep the law firm functioning smoothly across client billing, trust-account administration, financial monitoring, client communication, attorney and paralegal support, office systems, and day-to-day problem solving. We are looking for someone who notices problems, follows things through to completion, learns systems quickly, communicates comfortably with attorneys and clients, and takes ownership of important responsibilities rather than waiting to be told every next step. Responsibilities Assist with client billing, payments, trust replenishment requests, refunds, payment plans, collections, and financial questions. Monitor accounts receivable, work in process, client trust balances, and other financial-risk indicators. Maintain and help operate internal financial-control tools, including high-balance and trial-funding tracking. Perform monthly trust-account reconciliation after training. Communicate with attorneys and paralegals when client accounts require financial follow-up or action. Follow through on unresolved financial or administrative issues until they are completed or appropriately escalated. Assist with client intake, consultation scheduling, engagement agreements, onboarding, and client communications when needed. Maintain internal Google Sheets, administrative trackers, vendor information, licenses, and firm records. Assist attorneys and staff with county court-access registrations. Maintain Adobe and other firm software licenses and user access. Work with outside vendors to resolve routine office technology, telephone, and administrative issues. Assist with Tabs3, PracticeMaster, TAS, billing and bookkeeping-related processes. Coordinate office vendors, supplies, keys, maintenance, and other office needs. Provide telephone and intake backup when needed. Help document and improve office procedures. Identify problems and recommend solutions rather than simply completing assigned tasks. Learns software and administrative systems quickly. Communicates professionally and confidently with attorneys, staff, clients, and vendors. Notices inconsistencies or potential problems and investigates them rather than ignoring them. Can manage multiple recurring responsibilities without losing track of details. Accepts feedback well and uses it to improve. Is comfortable being accountable for important recurring processes. Enjoys improving systems and helping an office run more effectively. Wants to become a trusted, long-term member of a professional organization. Preferred Experience Prior experience in one or more of the following is strongly preferred: Law-firm administration Professional office management Billing or accounts receivable Bookkeeping or financial administration Client trust accounting Legal assistant work Client service in a professional environment Experience with Tabs3, PracticeMaster, TAS, Google Workspace, Adobe, law-firm billing, trust accounting, or family law is particularly helpful but is not required for an otherwise exceptional candidate. Compensation and Benefits $30.00-$36.00 per hour , depending on experience, qualifications, and demonstrated ability. Full-time position. Medical insurance. Dental insurance. Medical, dental, and vision coverage is available through the firm plan, including available spouse/dependent coverage. Work Location This position works full-time in our Fircrest/Tacoma office . This position is not remote and is not hybrid. The person hired will initially work closely with our experienced Lead Office Administrator so that there is meaningful hands-on training and transfer of firm procedures and institutional knowledge. Pay:
$30.00 - $36.00 per hour Expected hours: 40.0 per week
