Proactive Executive Support & Special Projects Limestone Building Group | Hartselle, Alabama We are looking for an Executive Assistant who is not comfortable simply waiting to be told what to do. This position supports the President of Limestone Building Group and requires an unusually high level of initiative, persistence, organization, judgment, and personal accountability. The right person will anticipate needs, follow up relentlessly, solve problems independently, and confidently keep assignments, commitments, and schedules moving forward. If you are someone who sees an unfinished task and instinctively takes ownership of getting it finished, we want to talk with you. This is not a passive administrative position. The successful candidate must be comfortable respectfully managing up—including reminding and redirecting the President when necessary, protecting his calendar, keeping him on schedule, following up repeatedly on outstanding matters, and professionally pushing for decisions or information needed to keep commitments from slipping. At the same time, this is a hands-on Executive Assistant position. No task should be considered too large to tackle or too small to handle. What You'll Do Perform proactive management of the President's email, calendar, meetings, daily priorities, travel, reminders, and administrative needs. Ensure requests, commitments, deadlines, and special assignments from the President are tracked and driven through timely and accurate completion. Perform persistent follow-up with the President and others to obtain information, decisions, approvals, and actions necessary to keep work moving. Perform professional and appropriately assertive calendar management, including reminders and intervention when necessary to maintain punctuality and commitments. Perform AI-enabled research, analysis, drafting, document development, project planning, and special-project work for the President. Assist the President in turning ideas and objectives into finished work products by researching unfamiliar subjects, developing initial approaches, using AI and other technology effectively, and iteratively refining the work through completion. Assist with Executive Committee coordination, human resources activities, business development, marketing, events, and other company initiatives. Perform routine administrative responsibilities including phones, visitors, mail, databases, office support, and occasional errands. The Person We're Looking For Proactive. You don't wait until a problem becomes urgent before acting. Persistent. You don't consider "I sent an email" or "I reminded them" to be the same thing as getting something accomplished. Confident and appropriately assertive. You can respectfully tell a company President, "You need to leave for that meeting now," and say it again if necessary. Personally accountable. When something within your responsibility doesn't get completed, your first instinct is to determine what you could have done differently—not to explain whose fault it was. Resourceful. When given an unfamiliar assignment, your response is essentially, "I'll figure out how to get it done." Technologically curious. You actively use artificial intelligence and other technology to research, analyze, write, organize, solve problems, and increase the quality and speed of your work. Detail-oriented. Speed and initiative don't come at the expense of accuracy. Discreet. You understand that working closely with a President means regularly encountering confidential, sensitive, and sometimes personal information. Low ego, high ownership. You are equally comfortable developing an important document for the President, coordinating a meeting, answering a telephone, or running an errand that simply needs to get done. AI Is Part of the Job We consider proficiency with artificial intelligence to be an important professional skill for this position. You do not need to be a programmer or technology specialist. You do need to be comfortable using AI as a serious productivity and problem-solving tool. We expect the successful candidate to use AI to research unfamiliar subjects, develop and evaluate ideas, draft and refine documents, organize information, analyze alternatives, plan projects, and accelerate special assignments. Just as importantly, you must possess the judgment to recognize when AI-generated information may be incomplete or inaccurate, independently verify important information, protect confidential company information, and take personal responsibility for the accuracy and quality of the final work product. What Success Looks Like The President has fewer things that require his personal attention because you are proactively handling what can be handled. Meetings start on time because you are actively managing the calendar—not merely maintaining it. Assignments don't disappear into an email inbox or get forgotten because you keep them visible and follow up until they are resolved. When the President gives you an idea rather than a fully defined assignment, you can help turn that idea into something tangible. Problems are brought forward with possible solutions. The President doesn't have to remember to remind you. When something doesn't go according to plan, you take ownership, adapt, and help solve it. Qualifications Previous experience as an Executive Assistant, senior administrative professional, project coordinator, operations professional, or similar role requiring significant independent responsibility. Demonstrated ability to manage multiple priorities, deadlines, and follow-up simultaneously. Strong written and verbal communication skills. Excellent organizational skills and exceptional attention to detail. Confidence communicating directly and candidly with senior executives while maintaining professionalism and respect. Demonstrated proficiency with Microsoft Office, Outlook, and modern AI productivity tools. Ability to independently research unfamiliar subjects and develop useful work products from limited initial direction. Sound judgment and discretion when handling confidential or sensitive information. A college degree is helpful but less important to us than demonstrated initiative, judgment, resourcefulness, accountability, and the ability to get things done. Before You Apply This position will probably not be a good fit if you prefer to wait for detailed instructions before beginning an assignment, are uncomfortable repeatedly following up with senior leaders, view reminders as someone else's responsibility, or prefer a narrowly defined administrative role. It may be an excellent fit if you naturally take ownership, enjoy figuring things out, are comfortable respectfully pushing people when necessary, embrace new technology, and get satisfaction from making an executive and an organization substantially more effective.
Pay:
$45,000.00 - $75,000.00 per year
