Executive & Personal Assistant Prescott, AZ | Part-Time | Hybrid/In-Person | Occasional Travel A busy Prescott-based entrepreneur and professional is seeking an exceptional Executive & Personal Assistant to help manage a complex schedule across multiple businesses, professional engagements, personal responsibilities, travel, and ongoing projects. This is not a traditional administrative role. I'm looking for someone who is highly organized, resourceful, proactive, and most importantly, takes ownership and gets things done. The right person will help create structure, stay ahead of priorities, manage details, and make sure important things don't fall through the cracks. Responsibilities Executive & Administrative Support Manage a complex and frequently changing calendar, meetings, and appointments. Monitor and help manage email and important communications. Coordinate travel, itineraries, reservations, and logistics. Track priorities, deadlines, commitments, and follow-ups. Provide weekly schedule and priority overviews. Proactively communicate reminders and items requiring attention. Identify scheduling conflicts and help keep priorities organized. Conduct research and provide organized options and recommendations. Project & Personal Support Track projects and tasks from assignment through completion. Coordinate and follow up with vendors, contractors, service providers, and other professionals. Assist with household projects, appointments, vehicle-related needs, and personal logistics. Research products, services, and providers as needed. Help organize important paperwork, renewals, bills, and deadlines. Coordinate personal and family travel when needed. Follow through on outstanding items without needing constant direction. Business & Speaking Support Help organize and support the systems behind a growing professional speaking and media business. Maintain contacts, relationships, opportunities, and follow-ups. Help organize speaking materials, event information, testimonials, and business resources. Coordinate with event organizers, business contacts, partners, and outside professionals. Research potential speaking engagements and professional opportunities. Assist with event and travel logistics. Help make sure new relationships and opportunities are captured and followed through on. Social Media & Content Operations Content creation is not the primary responsibility of this position. Maintain and organize a social media/content calendar. Schedule and publish approved content. Coordinate with videographers, editors, photographers, designers, and other content partners. Organize photos, videos, speaking footage, and other digital assets. Maintain organized digital file and content storage. Track content through creation, approval, and publishing. Assist with posting logistics, links, captions, tags, and scheduling. Monitor professional inquiries through social platforms and help route opportunities appropriately. Systems & Organization Help build and maintain systems that improve organization and efficiency. Maintain organized digital files, contacts, project information, and resources. Create repeatable processes and checklists where helpful. Identify opportunities to simplify or improve workflows. Help coordinate information and documents with accountants, bookkeepers, and other professional advisors when needed. Ideal Candidate We're looking for someone who is: Extremely organized and detail-oriented. Proactive rather than reactive. A strong task finisher with excellent follow-through. Comfortable taking ownership without constant direction. Resourceful and capable of figuring things out independently. An excellent written and verbal communicator. Comfortable managing multiple priorities and frequent changes. Tech-savvy and quick to learn new systems. Professional, trustworthy, and discreet. Comfortable handling confidential business and personal information. Able to respectfully speak up, ask questions, and provide input. Comfortable working independently while communicating consistently. Willing to occasionally travel. Experience as an Executive Assistant, Personal Assistant, Project Coordinator, Operations Coordinator, or similar role is strongly preferred. Requirements Must be local to Prescott or the immediate surrounding area. Reliable transportation. Available for in-person work as needed. Willing and able to travel occasionally. High school diploma or equivalent required. Executive/Personal Assistant experience preferred. Fingerprint Clearance Card preferred or ability to obtain one. Compensation & Schedule $20-$35 per hour depending on experience Approximately 10-20 hours per week to start , with the potential for increased hours, compensation, and responsibility for the right person. This is a hybrid position with flexibility, but regular availability and responsiveness during the workweek are important. Additional Opportunity This position supports a growing professional speaking business. Additional performance-based compensation opportunities may be available for qualified speaking opportunities generated by the assistant that result in contracted engagements.
