Job Description

Executive Assistant to the Owners About Next Level Speech Therapy Next Level Speech Therapy (NLST) is an SLP-owned and operated company partnering with school districts across the country to provide high-quality speech-language pathology and related services. We are a growing, fast-moving organization that cares deeply about our providers, district partners, students, and the people behind the work. As NLST continues to grow, we are looking for an exceptionally organized, proactive, and trustworthy Executive Assistant to support our two owners and help create more structure, follow-through, and breathing room at the executive level. The Role The Executive Assistant will work closely with Dayna and Mike , helping manage the many moving pieces that come with running and growing NLST. This is not a role for someone who simply waits for a list of tasks. We are looking for someone who naturally notices what needs to happen, keeps track of details, follows up without being asked, and helps turn conversations and ideas into completed actions. One day may involve coordinating calendars and preparing for leadership meetings; another may involve following up on an outstanding contract, organizing information for a project, scheduling meetings with providers or district partners, or making sure an important task doesn't disappear in an inbox.
The goal is simple:
help Dayna and Mike spend more of their time on the work that truly requires them and less time managing the hundreds of small details surrounding that work. Key ResponsibilitiesExecutive & Calendar Support Manage and coordinate Dayna and Mike's calendars, meetings, appointments, and scheduling needs. Identify scheduling conflicts and proactively help resolve them. Protect focus time and help prioritize meetings based on urgency and importance. Coordinate internal and external meetings with team members, providers, candidates, vendors, and district partners. Prepare agendas, documents, links, and other information needed before meetings. Help ensure Dayna and Mike know what is coming up and are prepared for important meetings and deadlines. Inbox & Communication Support Help organize and prioritize incoming communications. Flag messages requiring immediate executive attention. Track communications that require follow-up. Draft routine emails and responses for review when appropriate. Help prevent important emails, requests, and commitments from falling through the cracks. Coordinate introductions and scheduling between NLST team members, providers, districts, candidates, and outside partners. Follow-Up & Task Management Capture action items from meetings and conversations. Maintain a running executive task and follow-up list. Follow up with internal team members on outstanding items. Track deadlines and proactively remind the appropriate person before something becomes urgent. Turn verbal conversations into clear next steps, owners, and deadlines. Help Dayna and Mike maintain visibility into what is complete, what is pending, and what needs attention. NLST Operational Support Assist with administrative pieces of provider onboarding, recruiting, clinical operations, sales, finance, and company projects as needed. Help coordinate provider and district meetings. Assist with collecting and organizing documents, forms, contracts, licensure information, and other operational materials. Maintain organized electronic files and shared resources. Update internal trackers, CRM information, or project management systems as assigned. Help coordinate company initiatives, events, trainings, meetings, and special projects. Meeting & Leadership Support Help prepare for leadership and operational meetings. Create or organize agendas and supporting materials. Take notes and document decisions when appropriate. Identify action items and assign/track follow-up. Help ensure decisions made in meetings actually move forward afterward. Personal/Executive Administrative Support At times, this position may assist Dayna and Mike with reasonable administrative tasks that help them manage the demands of owning and operating NLST, including: Appointment coordination. Reservations and event logistics. Research and information gathering. Occasional personal scheduling or administrative coordination. The primary focus of the role will remain NLST and executive support. What We're Looking ForYou Are Proactive You don't need to be reminded three times. You Are Comfortable With Change NLST is growing, and priorities can change quickly. You can pivot without losing track of everything else. You Are a Strong Communicator You can communicate professionally and warmly with school administrators, providers, candidates, employees, vendors, and leadership. You Are Comfortable Taking Ownership If you are given a goal rather than step-by-step instructions, you can figure out how to move it forward. You Are Highly Trustworthy This position will have access to confidential business, employee, financial, and executive information. Discretion is essential. Preferred Qualifications 3+ years of experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, Project Coordinator, or similar role. Experience directly supporting executives, founders, or business owners strongly preferred. Excellent written and verbal communication skills. Exceptional organizational and time-management skills. Strong attention to detail. Ability to manage competing priorities and deadlines. Comfortable working independently in a remote environment. Strong technology skills and willingness to learn new systems quickly. Experience with Microsoft 365, Outlook, Teams, Google Workspace, CRM systems, and project-management tools preferred. Experience in healthcare, education, staffing, school-based services, or a growing small business is a plus but not required. What Success Looks Like Within the first several months, the right person will: Have a strong understanding of Dayna and Mike's working styles and priorities. Reduce the amount of time they spend scheduling, coordinating, tracking, and following up. Know what needs executive attention without everything needing to be explained. Create reliable systems for executive tasks and follow-up. Keep important commitments and deadlines from slipping through the cracks. Make meetings more productive by ensuring preparation and follow-through happen. Become someone the leadership team trusts to help keep things moving. Regularly hear, "Thank goodness you already handled that." Pay:
$24.00 - $32.00 per hour Expected hours: 20.0 - 40.0 per week
