Job Description

Position Overview We are seeking a highly organized, professional, and dependable Executive Administrative Assistant to provide administrative and organizational support to executive leadership. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced professional environment. This position requires strong communication skills, excellent organization, sound judgment, and a high level of discretion when handling confidential or sensitive information. Key Responsibilities Manage and coordinate executive calendars, including meetings, appointments, conference calls, and other commitments. Schedule and coordinate internal and external meetings, including attendees, meeting spaces, agendas, materials, and other necessary arrangements. Monitor upcoming meetings, deadlines, appointments, and commitments and provide reminders and updates as needed. Prepare, draft, proofread, and format emails, correspondence, reports, presentations, meeting materials, and other business documents. Assist with meeting preparation, take notes or minutes when requested, document action items, and help coordinate follow-up. Serve as a professional point of contact for executive leadership by appropriately managing and routing calls, emails, meeting requests, and other communications. Coordinate travel arrangements, accommodations, itineraries, and related logistics as needed. Maintain organized electronic and physical files, records, reports, and executive documentation. Track projects, assignments, deadlines, and follow-up items to help ensure timely completion. Assist with coordinating leadership meetings, company events, trainings, and other business functions. Handle confidential and sensitive business, employee, financial, and operational information with professionalism and discretion. Exercise sound judgment when prioritizing requests and determining which matters require executive attention. Anticipate administrative needs, take initiative on routine matters, and adapt to changing priorities. Assist executive leadership with special projects, research, reports, presentations, and other administrative responsibilities as assigned. Qualifications High school diploma or equivalent required. Previous administrative assistant, executive assistant, office administration, or similar professional experience preferred. Experience supporting executives or senior leadership is highly preferred. Strong calendar management, scheduling, and organizational skills. Excellent written and verbal communication skills. Strong attention to detail and ability to manage multiple priorities and deadlines. Ability to work independently, take initiative, and follow through on assignments. Professional demeanor and ability to interact effectively with executives, employees, physicians, vendors, and outside business contacts. Ability to maintain strict confidentiality and exercise appropriate discretion. Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams. Ability to learn new software and technology as needed. The successful candidate will be comfortable working with multiple priorities, communicating with individuals at different levels of the organization, and handling sensitive information appropriately. This is an on-site position in Lancaster, California. Pay:
$22.00 - $25.00 per hour Expected hours: 40.0 per week
