Position Summary The Executive Assistant II provides high-level administrative and operational support to the CEO and Executive Team across key programs, projects, and initiatives. This role is essential to ensuring smooth coordination, documentation, and follow-through on priority activities. The ideal candidate is highly detail-oriented, proactive, and professional, with strong organizational and communication skills and the ability to manage multiple priorities in a fast-paced environment. Over time, this position also has the potential to support a sister company focused on affordable housing initiatives. Key Responsibilities Administrative and Project Support Support executive and cross-functional projects by preparing materials, tracking deliverables, and maintaining documentation. Assist with project coordination and follow-up to ensure tasks and deadlines are met. Help organize information and communication across departments to support project execution. Research & Briefing Support Conduct research on industry trends, policy updates, competitive insights, and strategic opportunities. Prepare briefing documents, executive summaries, and background materials to support informed decision-making and long-term planning. Maintain a repository of relevant research and resources aligned with company priorities. Meeting & Communication Support Prepare and distribute meeting agendas, briefings, and prep materials for internal and external meetings. Attend key meetings to take comprehensive notes, track follow-ups, and manage post-meeting execution. Draft clear, action-oriented communications and summaries for the executive team. Administrative Partnership & Backup Support Serve as a backup to the Executive Assistant, Administrative Operations during absences or periods of unavailability to ensure continued support for the CEO and executive team. Provide administrative support as needed, including calendaring, internal coordination, and communication support. Maintain close collaboration with the EA, Admin Operations to ensure seamless alignment and continuity across both roles. Process Optimization & Project Management Identify opportunities to improve workflows, coordination processes, and reporting mechanisms across strategic projects. Develop tools, templates, and systems to enhance visibility and accountability across initiatives. Tech Collaboration & Troubleshooting Serve as a hands-on liaison between the executive team and IT vendors to resolve issues quickly. Diagnose and resolve basic technology issues (e.g., Apple TV connectivity, Egnyte sync issues, device login errors, Wi-Fi conflicts, video-conference setup). Ensure readiness of executive technology (devices, accounts, display systems, video conferencing, demos, and shared folders). Document recurring fixes and recommend improvements to reduce repeat issues. Office Operations Handle incoming calls, emails, and mail; route inquiries appropriately. Maintain general organization of office or shared workspaces. Support setup for meetings, company events, and visitors. Assist with local office-related errands as needed (e.g., picking up supplies, coordinating deliveries, or handling short local tasks in support of company operations). Qualifications & Competencies Bachelor's degree required; advanced degree or project management certification a plus. Minimum 2+ years of experience in a high-level administrative, research, or project management role supporting C-level executives. Demonstrated ability to gather and synthesize research, manage confidential information, and communicate with professionalism. Outstanding organization, time management, and attention to detail. Excellent written and verbal communication skills. Proven ability to work proactively, adapt quickly, and manage competing priorities. Strong technical proficiency with Google Workspace, Microsoft Office Suite, and collaboration tools such as Slack, Zoom, and project management platforms (e.g., Asana, Notion, Monday.com). Must have a valid California driver's license, reliable transportation, and proof of insurance for occasional local errands. This is a full-time onsite role. Must be local (or willing to relocate) and authorized to work within the United States.
