Full-Time Position Overview We are seeking a highly polished, organized, creative, and proactive Executive Assistant & Digital Marketing Coordinator to work closely with the CEO and support the company's day-to-day operations, marketing initiatives, events, and executive needs. This is a multifaceted, high-trust position that combines executive support, digital marketing, social media management, content creation, event planning, and administrative coordination. The ideal candidate is someone who can move seamlessly between managing the CEO's calendar, creating engaging social media content, coordinating a high-end professional event, and handling last-minute logistical needs. This person must be comfortable working independently, managing multiple priorities, and representing the CEO and company in a polished and professional manner. Digital marketing, social media, content creation, and event coordination will represent a significant portion of this role. Key Responsibilities Digital Marketing & Social Media Develop, create, and publish engaging content across the company's social media platforms. Manage the company's day-to-day social media presence and content calendar. Create written, visual, and video content for social media, websites, newsletters, and other digital channels. Photograph and/or capture video content at company events, meetings, and other appropriate occasions. Edit and format content for various social media platforms. Develop creative concepts, captions, graphics, and other marketing materials. Schedule and publish content while maintaining consistent branding and messaging. Monitor social media engagement and identify opportunities to increase visibility and audience engagement. Research current social media trends, formats, and best practices. Assist with developing and executing digital marketing campaigns. Maintain an organized library of photos, videos, graphics, and marketing materials. Collaborate with leadership to develop content that reflects the company's brand, culture, accomplishments, and initiatives. Assist with website updates and other digital communications as needed. Track basic social media and marketing performance metrics and provide recommendations for improvement. Event Planning & Coordination Plan, coordinate, and execute company events, conferences, meetings, dinners, and other special events. Research and book event venues, private spaces, conference facilities, hotels, ballrooms, and other locations. Coordinate all logistical aspects of events from initial planning through completion. Communicate and negotiate with venues, vendors, caterers, entertainment providers, AV companies, and other service providers. Review proposals, negotiate pricing, and ensure services remain within established budgets. Coordinate menu selection, food and beverage arrangements, dietary requirements, and catering logistics. Coordinate audio/visual requirements, including microphones, presentations, screens, lighting, sound, staging, and technical support. Manage event timelines, schedules, vendor communications, and day-of logistics. Coordinate registration, guest lists, seating arrangements, signage, materials, and event supplies. Assist with décor, branding, promotional materials, and overall event presentation. Conduct venue walkthroughs and coordinate setup and breakdown. Serve as the primary point of contact for vendors and event partners when appropriate. Troubleshoot issues and manage unexpected changes calmly and professionally. Ensure events are executed at a high professional and aesthetic standard. Executive & Calendar Management Manage and maintain the CEO's daily calendar, including professional meetings, appointments, travel time, events, and personal commitments. Coordinate and schedule meetings, conference calls, appointments, dinners, and other commitments. Proactively identify scheduling conflicts and recommend solutions. Confirm appointments and manage changes or cancellations. Help prioritize the CEO's time and ensure the schedule runs efficiently. Prepare the CEO for meetings, events, and upcoming commitments. Track important deadlines, follow-ups, events, and personal commitments. Administrative & Operational Support Provide day-to-day administrative and operational support to the CEO and leadership team. Coordinate meetings, appointments, deliveries, reservations, and other logistical needs. Assist with research, special projects, presentations, documents, and correspondence. Run occasional business and personal errands on behalf of the CEO. Coordinate purchases, returns, deliveries, and other time-sensitive requests. Assist with travel planning and logistics when needed. Maintain organized digital files, documents, contacts, and other information. Handle confidential and sensitive information with discretion. Communication & Relationship Management Communicate professionally with clients, executives, physicians, vendors, event venues, media contacts, and other external partners. Serve as a professional point of contact for the CEO and company when appropriate. Draft and coordinate emails, correspondence, invitations, announcements, and other communications. Maintain strong relationships with vendors, venues, and professional contacts. Represent the CEO and company with professionalism, discretion, and a high level of service. Qualifications 3+ years of experience in executive assistance, digital marketing, social media, event planning, communications, or a similar role. Significant hands-on experience managing social media and creating digital content . Demonstrated ability to create polished, engaging written and visual content. Experience planning and coordinating professional, corporate, luxury, or high-profile events strongly preferred. Experience working directly with a CEO, executive, physician, entrepreneur, celebrity, high-profile individual, or other senior leader is strongly preferred. Strong understanding of social media platforms, content strategy, and digital marketing best practices. Experience with content creation and basic photo/video editing. Exceptional organizational and time-management skills. Outstanding attention to detail. Excellent written and verbal communication skills. Highly polished, professional, and personable. Strong negotiation and vendor-management skills. Ability to manage multiple projects and deadlines simultaneously. Comfortable working in a fast-paced environment where priorities can change quickly. Strong problem-solving skills and the ability to work independently. Excellent judgment and discretion when handling confidential information. Proficient with Google Workspace, Microsoft Office, social media platforms, Canva, and other digital marketing tools. Willingness to occasionally work outside traditional business hours for events or time-sensitive executive needs. Valid driver's license and reliable transportation preferred/required for occasional errands and event-related responsibilities. Ideal Candidate The ideal candidate is a highly capable "right hand" to the CEO who combines executive-level professionalism with creativity and strong marketing instincts. You are equally comfortable coordinating a high-end conference, creating an Instagram post, negotiating with a hotel ballroom, managing a complicated calendar, or solving an unexpected problem five minutes before an event begins. You don't need to be told every step. You anticipate what needs to happen, take ownership, and follow through.
