We are seeking an experienced, highly organized, and resourceful Executive Assistant to provide direct administrative and organizational support to our Chief Executive Officer (CEO). About the Position This is an important role within our Executive Office, requiring much more than strong administrative skills. The successful candidate will be a trusted and dependable professional who brings sound judgment, discretion, initiative, and exceptional interpersonal skills to their work. The Executive Assistant works closely with the CEO to manage schedules, coordinate communications, organize priorities, support Board of Directors activities, and help ensure that executive responsibilities and commitments are handled efficiently. We are looking for someone who enjoys bringing order to a busy environment, anticipates needs, adapts comfortably to changing priorities, and takes pride in helping others succeed.
Onsite Attendance:
This is a fully onsite position. Regular, reliable onsite attendance during established working hours is an essential function of the position due to the need for direct executive support, in-person coordination, and responsiveness to the daily operational needs of the Executive Office. Monitor deadlines, commitments, and action items to ensure timely completion and effective communication. Serve as a professional liaison between the Executive Office and staff, Board members, donors, community partners, and other stakeholders. Maintain organized executive records and confidential information, exercising appropriate discretion and judgment. Support special projects, organizational initiatives, and administrative improvements that contribute to an efficient Executive Office. What We're Looking For Beyond technical qualifications, we are particularly interested in candidates who demonstrate the personal and professional qualities essential to supporting a senior executive.
Professional Judgment and Emotional Intelligence:
You exercise discretion, maintain appropriate boundaries, communicate with tact, and navigate sensitive situations with maturity and sound judgment.
Adaptability and Composure:
You remain flexible, calm, and solution-oriented when priorities change, unexpected needs arise, or competing demands require attention.
Initiative and Follow-Through:
You anticipate needs, take ownership of assignments, manage details effectively, and follow through on commitments without requiring constant direction.
Collaboration and Executive Partnership:
You build productive working relationships through trust, communication, mutual respect, and an understanding of the executive's priorities and working preferences. Required Qualifications Minimum of three years of progressively responsible administrative or executive support experience. Prior experience providing direct administrative support to a CEO, COO, CFO, Executive Director, or equivalent senior organizational executive. Excellent written and verbal communication skills, including professional correspondence, proofreading, and document preparation. Demonstrated ability to manage executive calendars, competing priorities, sensitive communications, and confidential information. Strong organizational, time-management, and problem-solving skills, with the ability to work independently. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams. Demonstrated professionalism, discretion, sound judgment, and adaptability. Preferred Qualifications Experience supporting a Board of Directors, including meeting coordination, Board materials, and meeting minutes. Previous experience in a nonprofit organization.
