Position requires experience supporting business operations, including managing inventory and financial transactions using accounting software such as QuickBooks or Delcus, assisting with budgeting and bookkeeping, overseeing office operations and vendor coordination, and preparing reports, financial documents, and high-level communications. Maintain and retrieve company records, documents, and reports. Administer and track weekly meal and fuel allowances for traveling employees. Oversee and organize executive calendars and daily schedules. Develop and implement administrative procedures for office operations. Provide support to staff regarding travel itineraries, expense reporting, and payroll inquiries. Handle incoming calls, route them appropriately, and take messages when needed. Maintain and process travel-related expenses and accounting records using accounting systems. Perform general administrative tasks, including supply ordering, database maintenance, and basic bookkeeping. Review incoming communications to assess importance and ensure proper distribution. Create and format invoices, reports, correspondence, financial documents, and presentations using various software tools. Manage and coordinate office operations, including records, budgeting, finances, personnel matters, and facility upkeep. Draft responses to routine inquiries and correspondence. Conduct research, gather information, and prepare reports or presentations for leadership and committees. Assists with the processing and management of payroll-related data. Explain company policies and procedures to staff. Represent executives in meetings with individuals or external groups when needed. No travel or language fluency required. Position located at Pembroke Pines, Florida; remote work permitted but candidates must be based in U.S.
