Pay is determined by various factors, including but not limited to job-specific requirements, individual experience, internal pay equity, and organizational needs/budget considerations, all in alignment with our RML's compensation philosophy. RML Specialty Hospital is seeking an experienced Executive Assistant to provide high-level administrative support to the President & CEO and other senior leaders. In this highly visible role, you'll serve as a trusted partner to executive leadership by managing complex schedules, coordinating meetings and travel, preparing executive communications, supporting the Board of Directors, assisting with provider credentialing, and helping facilitate key administrative and risk management functions. The ideal candidate is an exceptional communicator who exercises sound judgment, maintains strict confidentiality, and consistently demonstrates professionalism and attention to detail. What You'll Do Executive Support Provide comprehensive administrative support to the President & CEO and assigned executive leaders. Manage complex calendars, meeting schedules, travel arrangements, and executive correspondence. Prepare presentations, reports, agendas, spreadsheets, and other executive-level documents. Coordinate virtual and in-person meetings using Microsoft Teams and other collaboration tools. Screen calls, prioritize requests, and manage competing priorities in a fast-paced environment. Board of Directors Support Coordinate quarterly Board of Directors meetings and special meetings. Prepare Board agendas, meeting materials, and Board books. Record and distribute meeting minutes. Maintain Board records and administrative files with strict confidentiality. Risk Management Support Provide administrative support to the Director of Risk Management. Process subpoenas and maintain legal documentation. Coordinate medical record requests and deposition scheduling. Assist with litigation preparation by organizing documentation and communicating with legal counsel. Support departmental projects and process improvements. Provider Credentialing & Administration Process provider credentialing and recredentialing applications with insurance payers. Maintain provider credentialing records and contract files. Assist with executive contract processing and document management. Payroll & Financial Administration Process payroll through ADP for assigned departments. Prepare and process purchase requisitions, check requests, and capital request documentation. Maintain accurate financial records and supporting documentation. Office & Administrative Operations Prepare correspondence, reports, spreadsheets, and other business documents with exceptional accuracy. Proofread documents for grammar, formatting, and consistency. Order office, conference room, and kitchen supplies. Coordinate catering and other administrative logistics. Provide administrative support for Administrative Council meetings. Assist with departmental coverage and special projects as needed. What We're Looking For Required Qualifications High school diploma or equivalent. Minimum of 7 years of progressive administrative or executive support experience. At least 2 years supporting senior executives . Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams). Typing speed of 70+ words per minute . Excellent written and verbal communication skills. Exceptional organizational, multitasking, and time management abilities. Demonstrated ability to handle confidential information with professionalism and discretion. Notary Public certification or willingness to obtain certification upon hire. Preferred Qualifications Associate degree or additional business coursework. Knowledge of medical terminology. Experience in a healthcare or hospital environment. Experience with provider credentialing and payer enrollment. Experience using ADP payroll systems.
