Travel:
Very limited local travel between nearby facilities, if needed We are seeking a highly organized and detail-oriented Factory Administrative Assistant to provide administrative and operational support to department managers and supervisors in a manufacturing/factory environment. The ideal candidate will have strong Microsoft Office skills, excellent communication abilities, and experience managing schedules, coordinating meetings and travel, maintaining records, preparing reports, and handling confidential information. This position requires someone who is self-directed, professional, dependable, and comfortable working with employees, managers, visitors, and onsite contractors. This is a 100% onsite position from Day 1, with opportunities for long-term extension and professional growth.
Key Responsibilities:
Manage calendars, schedule meetings, coordinate appointments, and arrange travel for department managers and supervisors. Coordinate meeting logistics, including rooms, refreshments, materials, and other arrangements Respond to inquiries and concerns from internal and external customers and escalate complex issues when appropriate. Gather, organize, maintain, and summarize sensitive or confidential information for reports and special projects. Prepare reports, correspondence, presentations, letters, memoranda, and other administrative documents. Maintain accurate databases, files, records, and system information. Review information for accuracy, identify discrepancies, and follow established procedures to resolve issues. Receive and direct visitors and telephone calls to the appropriate department or individual. Maintain records of projects, correspondence, and follow-up items for supervisors and department leadership. Track pending items and help ensure appropriate follow-up and completion. Communicate supervisor instructions and requirements to employees and other stakeholders. Support communication with managers, employees, vendors, and other internal or external contacts. Participate in or lead workplace improvement and employee-experience initiatives. Plan and coordinate employee events, meals, meetings, and recognition activities. Work with and provide indirect direction to onsite contractors and service providers, including facilities and food-service personnel. Perform other administrative and coordination duties as assigned.
Required Qualifications:
Strong Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint. Excellent written and verbal communication skills. Strong planning, organization, scheduling, and time-management abilities. High attention to detail and accuracy. Ability to handle confidential and sensitive information professionally. Strong interpersonal and relationship-building skills. Ability to work independently and take initiative. Strong problem-solving and follow-up skills. Ability to coordinate multiple priorities in a fast-paced environment. Professional and dependable approach to working with employees, management, vendors, and contractors. Must be comfortable working onsite in a factory/manufacturing environment.
Preferred Qualifications:
3-5 years of professional administrative, office coordination, or related experience. Postsecondary education or equivalent professional experience. Experience supporting managers, supervisors, or department leadership. Experience coordinating events, employee activities, vendors, or contractors. Experience working in a manufacturing, factory, industrial, or corporate environment. (LH-R7) #IND1
