This position is ideal for someone who takes initiative, communicates professionally, follows through consistently, and enjoys creating organization in a fast-paced environment. The position may begin part-time or full-time depending on the selected candidate's experience and availability. There is an opportunity for the role to grow into a long-term, full-time position with additional responsibilities and earning potential. This is a hybrid position. The selected candidate must be able to report to the Kendallville area for scheduled in-person work. Some responsibilities may be completed remotely after training and once consistent performance and reliability have been demonstrated. Primary ResponsibilitiesExecutive and Administrative Support Manage calendars, appointments, reminders, and daily priorities Organize email, correspondence, documents, and digital files Maintain accurate task lists and follow-up systems Track deadlines and help ensure important responsibilities are completed Prepare meeting notes, reports, checklists, and follow-up items Coordinate vendors, appointments, client events, and business activities Develop and maintain organized systems and standard operating procedures Handle confidential client, financial, and business information with discretion Real Estate Transaction Support Assist with real estate transaction paperwork and file organization Track contract deadlines, inspections, appraisals, financing, title work, and closings Communicate professionally with clients, agents, lenders, title companies, inspectors, and vendors Maintain complete and accurate electronic transaction files Prepare listing materials, buyer resources, checklists, and closing information Coordinate photography, signage, marketing materials, showings, and listing preparation Assist with follow-up before, during, and after each transaction Perform only legally permitted administrative duties unless the employee holds an active real estate license CRM and Client Follow-Up Organize and maintain the Follow Up Boss CRM and client database Import, update, categorize, tag, and clean contact records Build and maintain action plans, reminders, follow-up campaigns, and lead-nurture systems Help monitor incoming leads and ensure timely communication Track active clients, prospective clients, past clients, and referral opportunities Assist with birthday, home-anniversary, client-appreciation, and long-term follow-up campaigns Help improve database accuracy, organization, and overall CRM performance Marketing, Social Media, and Events Assist with organizing and scheduling social media content Create or coordinate basic graphics, flyers, email campaigns, and marketing materials Help market new listings, pending transactions, closings, testimonials, and community events Maintain consistent branding across social media, email, print, and other marketing platforms Organize photos, videos, logos, templates, and other marketing assets Assist with client-appreciation events, community sponsorships, and promotional activities Coordinate marketing projects with photographers, videographers, printers, and other vendors Bookkeeping and Business Organization Organize receipts, invoices, expenses, and transaction records Assist with basic bookkeeping and financial recordkeeping Track bills, subscriptions, vendor payments, and reimbursements Maintain organized records for the accountant and tax professional Help track marketing expenses, commissions, investment-property expenses, and business performance Prepare accurate records and summaries as requested Preferred Qualifications Previous experience as an executive assistant, administrative assistant, transaction coordinator, office manager, or real estate assistant Real estate experience is preferred but not required An active Indiana real estate license is preferred but not required Experience with Follow Up Boss or another customer relationship management system is a plus Familiarity with Google Workspace, Microsoft Office, Canva, electronic signatures, and cloud-based file management Basic bookkeeping, invoicing, or QuickBooks experience is helpful Strong written and verbal communication skills Excellent attention to detail, organization, and time-management abilities Ability to learn new technology, software, and systems quickly Reliable ability to report to the Kendallville area for scheduled in-person work Ideal remote work may be permitted based on responsibilities, training, and performance Hours worked will be accurately recorded and compensated in accordance with applicable wage-and-hour laws Compensation
