Our work is highly personal, detail-oriented, and relationship-driven. Job Summary We are seeking an assistant to support the firm's founder and lead financial planner. In this role, you will help organize daily priorities, keep communication and follow-up on track, support smooth office operations, and contribute to an excellent client experience. This position is ideal for someone who enjoys creating order, managing details, and working in a professional, confidential environment. Responsibilities Manage the financial planner's daily priorities by monitoring email and voicemail, assisting with follow-up, and balancing new requests with existing commitments to ensure client service items are handled promptly and consistently. Track client service items, deadlines, and next steps to ensure timely completion. Prepare new account and account servicing paperwork. Maintain organized digital and paper files while supporting compliance with internal procedures and industry requirements. Assist with CRM updates, client data entry, document management, and workflow tracking. Coordinate with custodians, insurance companies, accountants, attorneys, and other professional partners as needed. Support billing, invoicing, office supply management, vendor coordination, and other day-to-day practice operations. Help train additional office staff and coordinate task handoffs as appropriate. Identify opportunities to improve administrative processes and enhance the client experience. Required Qualifications Prior experience as an executive assistant, administrative assistant, client service associate, office manager, or similar role. Excellent written and verbal communication skills. Strong attention to detail and the ability to manage multiple priorities without losing track of follow-through. High level of professionalism, discretion, and respect for confidential information. Comfort using Microsoft and Google Applications, Adobe/PDF tools, and CRM systems. Ability to work independently, anticipate needs, and solve thoughtfully problems. Client-first mindset with a calm, courteous, and dependable communication style. Preferred Qualifications Experience in financial planning, wealth management, banking, insurance, accounting, or another professional services environment. Experience with CRM systems, document management tools, scheduling tools, and financial services platforms such as Redtail, Docupace, Calendly, Google Workspace, NetX360+, Schwab Advisor Center, or eMoney. Experience with AI notetaking and practice management technology. Pay:
$18-$22 per hour, based on experience.
Annual bonus:
Up to 30%, paid quarterly, based on personal and firm performance.
Paid time off:
Earn 1 hour of paid time off for every 10 hours worked.
