Executive Assistant at The Algernon Sydney Sullivan Foundation Part-time position based in our Oxford, MS office | Reports to the President | Pay based on experience Foundation Description The Sullivan Foundation supports students and faculty at partner colleges and universities through awards, scholarships, fellowships, and leadership-focused programming centered on service, community engagement, and innovation. The Foundation works closely with 74 partner schools to develop programs and experiences that encourage students to address real-world challenges in their communities. Job Description The Executive Assistant provides direct support to the President and ensures the Foundation's daily operations, board relations, logistics, and internal systems run smoothly. Manage the President's travel logistics (flights, hotels, rental cars, itineraries), travel/meeting materials, calendar, and CRM (NeonOne) contacts and follow-ups Work with the President and Director of Operations to oversee day to day administration work Handle general office administration, including mail, phone lines, PO Box and postage renewals, Google Admin Console, supply ordering, membership renewals, and internal meeting notes Organize and maintain the Foundation's storage unit and office inventory (supplies, marketing materials, certificates, awards), and distribute outgoing mail and awards as needed Support event and program logistics, including team planning meetings, retreat coordination (registration, waivers, supplies), and scheduled compliance communications with partner schools Maintain the Foundation's website and app with current program information and schedule social media content
Time Commitment and Pay:
This position is part-time and is expected to average 20 hours per week. However the dates and times, during regular business hours, are flexible. In addition, if desired, extended breaks from work are allowed during the summer and holiday season. The position can be paid on an hourly rate or by salary, as agreed upon. Qualifications Excellent organizational skills and follow-through on detail-heavy, recurring tasks Strong written communication for professional correspondence Comfort with standard office software Ability to manage multiple deadlines independently Discretion in handling confidential board, donor, and personnel information Associate's or Bachelor's degree required; administrative or executive-assistant experience a plus
Pay:
From $20.00 per hour Expected hours: 20.0 - 25.0 per week
