Position Summary The Executive Assistant provides high-level administrative and organizational support in a dual-support capacity to both the President and the Chief Operations Officer, enabling both executives to focus on company leadership, operational management, ISO program oversight, sales development, and cross-functional initiatives. This role requires strong judgment in balancing and prioritizing the needs of two executives, discretion with confidential information, and the ability to manage shifting priorities across manufacturing, quality, sales, and executive functions with minimal supervision. Key Responsibilities
- Manage calendars, meeting scheduling, and travel arrangements for both the President and the COO, proactively resolving conflicts and prioritizing time-sensitive commitments across both executives.
- Prepare, format, and proofread correspondence, reports, presentations, and meeting materials on behalf of the President and the COO.
- Coordinate and help drive follow-up on action items from leadership, sales, and quality/ISO meetings, tracking deadlines to closure for both executives.
- Serve as a liaison between the President, the COO, and department leaders (manufacturing, quality, sales, HR-adjacent functions), relaying information accurately and following up as needed.
- Exercise discretion and sound judgment in prioritizing competing requests from two executives, escalating conflicts appropriately.
- Handle confidential company, personnel, and customer information with discretion.
- Assist in planning internal meetings, board or leadership meetings, training sessions, and company events.
- Take on special projects and ad hoc research assignments as directed by the President and/or the COO. Qualifications
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership, preferably in a manufacturing or industrial environment.
- Experience supporting multiple executives simultaneously is a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines across two executives.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with document control or quality management systems is a plus.
- High degree of professionalism, discretion, and sound judgment when handling sensitive or confidential information.
- Self-starter who can work independently, anticipate needs, and balance the priorities of two executives without direct oversight.
- Associate's or Bachelor's degree preferred, or equivalent professional experience.
Work Environment This position is based on-site at HFC's Elizabeth City, NC facility and works primarily in an office setting, with occasional time on the manufacturing floor to support operational and quality-related tasks.
