The Executive Assistant will play a vital role in ensuring smooth and efficient operations by providing administrative support to the Executive Director. The ideal candidate is proactive, detail-oriented, and able to multitask in a fast-paced environment.
Candidate needed to:
1. General communication, correspondence and coordination on behalf of the Executive Director. Prepares all mailings. 2. Will assist in preparation of grant related reports and contract documents.. 3. Administrative support for the Board of Directors including correspondence, meetings and minutes. 4. Manage executive's calendar with tremendous attention to detail. Schedules include numerous daily meetings, calls, and presentations with internal and external individuals and teams. 5. Participate in meetings; planning offsite meetings; coordinating all logistics; managing communications; tracking action items and key issues. 6. Assist all programs as necessary and supports Director team. Position is part-time working 27.5 hours during the work week, 9:30am-3:00pm, Board Meetings at 5:30pm on the 4th Tuesday of each month (with the exception of August and December). There will be a legally permissible background check for the successful candidate.
Requirements:
- 3 or more years of relevant professional executive-level experience.
- Associates Degree is preferred.
- Must be highly organized with strong attention to detail and the ability to prioritize and manage multiple projects simultaneously.
- Ability to establish and maintain effective working relationships with executives, board members, employees, customers and public. Discretion and confidentiality are a must have!
- Friendly, collaborative, with good communication skills to promote a productive and positive team atmosphere.
- Comfortable with technology including Google Suite, Adobe, and databases.
- Excellent proficiency in grammar, punctuation, possessing strong editorial skills.
