Job Description

Overview NYSMHA is looking for an organized, resourceful Executive Assistant to support our Director of Program Implementation. You'll help keep work moving across our Grow Your Own pathways, graduate internships, coaching, professional learning, and district partnerships. You'll also work closely with NYSMHA's full-time Executive Assistant so schedules, communications, and follow-up stay coordinated. Our mission is to prepare the workforce that helps kids and families.
Four pillars guide that work:
Connect Systems, Prepare the Workforce, Strengthen Communities, and Shift the Lift. What you'll do Manage the Director's calendar, schedule meetings, and coordinate with staff, consultants, districts, and partners. Keep track of program-related tasks, deadlines, deliverables, and follow-up across multiple projects. Prepare agendas, meeting materials, notes, correspondence, and presentations. Help organize information and communication across NYSMHA's programs. Book travel and coordinate meeting and event logistics. Work with the full-time Executive Assistant to share information, avoid gaps, and keep administrative processes consistent. Handle confidential information with care and know when an issue needs the Director's attention. What you'll bring Proficiency with Google Workspace and Zoom. Excellent written and oral communication skills. The ability to manage multiple priorities at once while keeping details straight. Flexibility, creativity, and comfort working in a growing organization. The ability to work autonomously, take initiative, and ask questions when you need clarity. A motivated, collaborative approach to working with a team. Strong, clear professional boundaries around time, responsibilities, and confidential information. Experience booking travel and coordinating schedules. Prior administrative or executive support experience preferred. We're looking for someone who can bring order to a busy workday, communicate clearly, and help a team follow through on the work it has committed to doing.

Pay:
$28.00 - $32.00 per hour Expected hours: 16.0 per week
