Over the past four years, we have built a fast-paced, entrepreneurial organization focused on delivering efficient funding solutions while continuing to strengthen and scale our operations. As we enter our next stage of growth, we are seeking a highly organized, resourceful, and proactive Executive Assistant to the CEO to help maximize the effectiveness of our executive office. Position Overview The Executive Assistant to the CEO will serve as a trusted partner to the CEO, providing high-level administrative and operational support while helping manage competing priorities in a dynamic, fast-moving environment. This role goes beyond traditional calendar management. The Executive Assistant will help the CEO stay organized, prepared, and focused on the company's highest-priority initiatives by coordinating schedules, managing communications, preparing for meetings, tracking follow-ups, and anticipating needs before they arise. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable working with a high degree of autonomy. They should thrive in an entrepreneurial environment where priorities can shift quickly and where sound judgment, responsiveness, and follow-through are essential. Key Responsibilities Manage and optimize the CEO's calendar, including meetings, appointments, calls, and other commitments. Proactively prioritize scheduling requests based on urgency, business impact, and executive priorities. Coordinate internal and external meetings, including scheduling, agendas, meeting materials, and follow-up items. Serve as a key point of contact between the CEO and employees, clients, business partners, vendors, and other external stakeholders. Manage and coordinate complex travel arrangements, itineraries, accommodations, transportation, and related logistics. Assist with monitoring the CEO's priorities, commitments, and action items to ensure timely follow-through. Prepare presentations, reports, meeting materials, correspondence, and other executive-level documents as needed. Organize and maintain confidential documents, records, and executive information. Support the CEO in preparing for leadership meetings, business reviews, client meetings, and other important engagements. Capture key takeaways and action items from meetings and help ensure appropriate follow-up. Anticipate scheduling conflicts, operational needs, and potential issues before they become disruptions. Coordinate executive expenses, invoices, reimbursements, and related administrative matters. Assist with company events, executive meetings, and special projects as needed. Partner cross-functionally with department leaders to facilitate communication and execution of CEO priorities. Handle sensitive personal, company, employee, client, and executive information with a high degree of discretion and confidentiality. Take ownership of ad hoc projects and administrative initiatives that improve the efficiency of the CEO and executive office. Qualifications 3+ years of experience as an Executive Assistant, Personal Assistant, Administrative Business Partner, or similar role supporting senior executives, Prior experience directly supporting a CEO, founder, C-suite executive, or senior business leader strongly preferred. Experience within fintech, financial services, alternative business funding, lending, or another fast-paced business environment is a plus. Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously. Strong written and verbal communication skills. Excellent attention to detail and consistent follow-through. Strong judgment and the ability to appropriately handle confidential and sensitive information. Ability to anticipate needs, identify potential issues, and take initiative without requiring constant direction. Comfortable operating in a fast-paced environment where priorities and schedules may change quickly. Strong proficiency with Google Workspace and/or Microsoft Office; familiarity with Slack and other modern workplace tools preferred. Professional and confident when communicating with executives, employees, clients, and external business partners.
