Executive Administrative Assistant Glenmont Job Corps Center | Be the Right Hand That Keeps Leadership & Center Operations Moving Are you the person who keeps everything organized when there are a hundred things happening at once? Glenmont Job Corps Center is seeking a highly organized, proactive, and professional Executive Administrative Assistant to provide high-level administrative support to the Center Director's Office. This is more than a traditional administrative position. You'll help coordinate communications, reports, meetings, deadlines, Center deliverables, and executive priorities while serving as the Center's lead administrative assistant. Think of this role as part executive assistant, part communications coordinator, part project tracker, and part problem-solver. 🕗 Schedule Monday-Friday | 8:00 AM-5:00 PM ⏰ Job Type Full-Time 🔑 What Will You Do?

You'll help make sure the details don't get lost while leadership focuses on the bigger picture. As Executive Administrative Assistant, you'll: 📅 Manage Executive Priorities — Coordinate meetings, conference calls, schedules, visitors, correspondence, and travel arrangements as needed. 📊 Track Reports & Deliverables — Log and monitor Center contract deliverables, requests, reports, correspondence, and deadlines to ensure timely submission. ✍️ Prepare Professional Communications — Draft, write, proofread, and distribute correspondence, reports, meeting minutes, and other materials. 🏢 Support Executive Operations — Conduct research, prepare statistical reports, respond to information requests, and maintain required documentation. 📬 Coordinate Center Communications — Prepare and distribute the Center's weekly newsletter while gathering updates and highlights from departments across campus. 🔒 Protect Confidential Information — Handle sensitive employee, student, personnel, and operational information with discretion and professionalism. 💻 Maintain Systems & Records — Support applicable Job Corps and Company systems, records, libraries, and administrative processes. 👥 Be the Center's Lead Administrative Assistant This position serves as the lead administrative support role for the Center. You'll help prioritize and coordinate administrative assignments and may provide guidance or training to other clerical and administrative staff. That means we're looking for someone who doesn't always need to be told what comes next. You notice it. You organize it. You follow up. You make sure it gets done. Strong time management, organization, communication, and follow-through will be essential. 🤝 You'll Also Support Human Resources One unique part of this position is providing technical and administrative assistance to the Human Resources Department. This may include support related to: ✔ Personnel information processing ✔ Computer input and reporting ✔ Employee information and documentation ✔ Fringe benefit administration ✔ Other HR administrative processes The position may also be asked to temporarily assume acting responsibilities within the Human Resources Department when needed. High School diploma or equivalent
REQUIRED
Advanced degrees preferred. A minimum of five years advanced administrative experience
REQUIRED
Degree or certification from an accredited or certified training program in clerical or administration preferred. Computer literacy and proficiency in Microsoft Suite of applications is
