Job Description

The Joa Team at Keller Williams Realty Gold Coast is looking for a highly organized, proactive, and resourceful Executive Assistant to work closely with the Team Leader and oversee the day-to-day operations of a high-producing real estate business. This is not a traditional administrative position. We are looking for an operational leader who thrives on creating order, building systems, and making things happen. The right person will run ahead of the Team Leader, anticipate what is needed, solve problems before they become issues, and take ownership of the operational side of the business. This person will be responsible for keeping the team accountable, ensuring deadlines and priorities are met, managing transactions and listings, overseeing business systems, coordinating vendors and partners, and continuously finding ways to make the business more efficient. Responsibilities Own and manage the Team Leader's calendar, schedule, priorities, and day-to-day workflow. Protect the Team Leader's time by prioritizing requests, solving issues independently, and determining what truly requires the Team Leader's attention. Coordinate and oversee real estate transactions from contract to closing, ensuring deadlines, documents, and next steps are completed accurately and on time. Manage listing coordination , including paperwork, vendor scheduling, marketing timelines, MLS input, and launch preparation. Communicate directly with clients, attorneys, agents, vendors, and partners to keep projects and transactions moving forward. Track deadlines, commitments, and team priorities , following through with agents, vendors, and partners until completion. Build, document, implement, and continuously improve systems, processes, checklists, and workflows across the business. Create and maintain systems that improve accountability, consistency, organization, and efficiency across the team. Manage recurring business activities, reporting, dashboards, database health, expenses, and other operational functions. Create and implement marketing materials, social media content, client communications, and client appreciation initiatives. Oversee agent onboarding and ensure agents have the systems, resources, and information needed to operate effectively. Identify opportunities to streamline or automate repetitive processes and ensure technology is being used effectively across the team. Monitor the overall health of the business and proactively identify gaps, bottlenecks, and areas that need attention. Coordinate vendors, office needs, payments, and other operational details to ensure the business runs smoothly. Anticipate needs, identify potential issues before they become problems, and proactively move priorities forward without waiting for direction. Qualifications Previous experience as an Executive Assistant, Operations Manager, Operations Coordinator, Transaction Coordinator, or similar role ; real estate experience strongly preferred. Demonstrated ability to build and implement systems and processes , not simply work within existing ones. Exceptional organizational and project management skills with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills. High attention to detail and a strong sense of ownership and accountability. Ability to work independently, make sound decisions, and solve problems without constant direction. Comfortable working in a fast-paced environment where priorities can change quickly. Proficient in Microsoft Office, Google Workspace, Canva, and Adobe Acrobat . Experience with OneKey MLS, StreetEasy, Perchwell, CRM systems, or similar real estate platforms is a plus. Comfortable learning new technology and actively looking for ways to improve efficiency through technology and automation.
