This role requires exceptional discretion, judgment, responsiveness, and attention to detail. The position serves as a trusted point of coordination for business priorities, investor and professional communications, calendar management, travel, personal logistics, office administration, and special projects. This position is 100% onsite and preferred days are Monday through
Friday Essential Duties and Responsibilities:
Provide proactive executive support to the Managing Member / Principal, including calendar management, meeting coordination, correspondence, follow-up tracking, and prioritization of daily workflow. Coordinate complex domestic and international travel arrangements, including flights, lodging, ground transportation, itineraries, reservations, and related personal or business logistics. Manage sensitive personal and professional matters with a high degree of confidentiality, discretion, and sound judgment. Serve as a professional point of contact for investors, service providers, vendors, tenants, contractors, family members, and other external parties. Prepare, edit, organize, and distribute documents, presentations, correspondence, reports, and other materials as requested. Track and manage deadlines, appointments, renewals, registrations, reservations, payments, and other time-sensitive business and personal matters. Assist with accounts payable, invoice processing, expense reports, reimbursements, and coordination with accounting or bookkeeping resources. Maintain organized electronic and physical files, contact lists, records, and reference materials. Coordinate office operations, supplies, vendor relationships, maintenance requests, mail, packages, and general office organization. Assist with marketing, investor communications, newsletters, mailings, and presentation updates as needed. Handle personal errands, household coordination, appointments, reservations, gift purchasing, event planning, and other personal support tasks as requested. Anticipate needs, identify problems, recommend practical solutions, and follow through to completion with minimal supervision. Minimum Qualifications (Education, Experience, Skills): Associate's degree required; bachelor's degree preferred. 3-7 years of relevant experience supporting a senior executive, principal, business owner, family office, investment firm, or similar professional environment. Excellent organizational, time-management, and prioritization skills, with the ability to manage multiple business and personal matters simultaneously. Strong written and verbal communication skills, including the ability to interact professionally with investors, executives, vendors, service providers, and family members. Demonstrated ability to handle confidential and sensitive information with discretion, maturity, and sound judgment. Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams), Adobe/PDF tools, internet research, and general office technology. Experience coordinating domestic and international travel, reservations, itineraries, calendar logistics, and expense-related documentation. Comfortable managing vendor relationships, office equipment, mail, scanning, filing, document organization, and routine office administration. Polished, reliable, resourceful, detail-oriented, proactive, and able to exercise good judgment in a fast-paced professional environment. Flexible and responsive, with a "can do" attitude and willingness to handle both executive business support and personal assistant responsibilities. Must be a team player #INDWP
